Position: Client Care Coordinator
Supervisor: Director of Operations and Expansion
General Job Description:
As a Client Care Coordinator at The Talk Team, you will play a crucial role in managing the authorization process for client services, checking in clients for their appointments, greeting clients and teammates, and collecting payments for services rendered. Working closely with insurance providers, families, and internal stakeholders, you will ensure timely approval of authorizations to facilitate uninterrupted access to therapy services for our clients. This position requires strong organizational skills, attention to detail, and effective communication abilities.
Essential Duties and Responsibilities:
1. Greet clients in a warm and professional manner as they arrive to the clinic.
2. Efficiently check clients in for their appointments and collect payments from clients for services rendered, ensuring accuracy in transaction processing.
3. Maintain cleanliness and organization of the front desk area and waiting room.
4. Assist in administrative tasks such as filing paperwork, organizing client files, and managing correspondence.
5. Liaise with insurance companies to obtain and manage authorizations for ABA and speech therapy services for clients.
6. Review and verify insurance coverage and benefits for new and existing clients.
7. Coordinate with clinical staff to gather necessary documentation and information for authorization submissions.
8. Maintain accurate records of authorization status, expiration dates, and renewal requirements.
10. Proactively monitor authorization timelines and follow up as needed to ensure timely renewals and approvals.
11. Assist with appeals and denials management as needed, advocating for clients' access to necessary services.
12. Coordinate Intake Process: Manage the intake process from start to finish, including scheduling initial consultations, collecting necessary documentation, and obtaining insurance information.
13. Participate in team meetings and trainings to provide updates on authorization processes and address any related issues or concerns.
14. Maintain a positive, collaborative attitude focused on the success of clients and dedication to the culture of TALK.
15. Other tasks may be deemed appropriate and necessary by the immediate supervisor and/or the administrative team.
Physical Demands - While performing the duties of this job, the employee is occasionally required to stand, walk, and sit for extended periods of time; reach for tools and objects with hands and arms; climb stairs; stoop, kneel, crouch, or crawl; and talk to and hear customers. The employee must occasionally lift to 25 pounds. The employee must be able to see up close and at a distance, as well as use peripheral vision and depth perception, and be able to look at, read, and use a computer, electronic devices, and phones for long periods of time.
