PROGRAM ASSISTANT I

Part-Time (29.5 hrs/week)

$17.46-$22.93 Hourly

The State of New Hampshire, Department of Health and Human Services, Division of Medicaid Services has a part time vacancy for Program Assistant I.

SUMMARY:

Performs various duties in assisting the Dental Director and Program staff to implement procedures and policy within the Office of Medicaid Services. Position is a key support to the Director’s management of the Medicaid Dental Provider Network and administration of Medicaid Dental Benefit. This position will report to the Dental Director.

RESPONSIBILITIES:

Answers the telephone for the Dental Unit. Responds to policy, procedural and program inquiries from the public or other Department employees, and, if necessary, forwards callers to the appropriate Program staff for response.

Receives cases and other mail daily and makes entries it into an electronic log. Disseminates to appropriate program staff. Produces letters for the Dental Director and Program staff using computer software to generate mail merge documents from several software programs.

Manages and completes communications and survey projects as directed, including preparing materials for mailing, addressing, receiving responses and cataloging replies.

Performs administrative duties for the Dental Director and staff including, but not limited to, scheduling appointments, arranging meeting space, taking and disseminating meeting minutes, filing, copying, and email storage.

Researches client eligibility, provider enrollment, and claims utilizing information systems such as The NH MMIS Health Enterprise Portal and New Heights.

Uses Excel and other software to create standard reports and organize information on a regular and ad hoc basis.

Assists in updating the Orthodontic and General Dental Logs by entering treatment plans and prior authorization requests received from dental offices on behalf of Medicaid recipients, preparing documents for consultants’ review, and forwarding to the consultants for determination of prior authorization of payment, noting incomplete cases.

Supports the productivity of the Dental Unit through positive communication with providers, colleagues and stakeholders and through compliance with all personnel rules, especially those regarding punctuality, use of breaks and personal time, and by maintaining confidentiality and professionalism in the workplace.

Works in conjunction with the OMS Medicaid Director’s Assistant to maintain the inventory of office equipment and the office telephone and fax contact list

Under the direction of the OMS Medicaid Director’s Assistant, collaborates with Office clerical support to ensure that necessary functions are completed in order to achieve the Office’s goals and functions.

MINIMUM QUALIFICATIONS:

Education: High school diploma or high school equivalency credential. Each additional year of approved formal education may be substituted for one year of required work experience.

Experience: Three years of experience in a responsible clerical position, including experience in Medicaid, insurance processes such as benefit determination, claims processing, direct provider and patient customer service in a healthcare setting, information management, or clerical experience in a dental or medical business office.

License/Certification: None required.
