Your Specific Responsibilities:

This position is responsible for coordinating and providing operational and procedural support to the Division of Children’s Medical Services, Bureau of Early Steps and Newborn Screening, Newborn Hearing Screening Program, and reports to the General and Operations Manager I, Data Informatics Unit supervisor. The incumbent in this position must be able to work independently, must have the ability to organize and prioritize workload, must be capable of ensuring continuity of work in the absence of supervision, and demonstrate sound judgement and initiative in the performance of these duties.

Enter hearing screening results into the data system and complete actions, including printing/sending of letters. Complete daily data corrections and close cases with within the Early Hearing Detection & Intervention (EHDI) data system.

Provide data support for the monthly screening data validation process led by the Screening Resource Coordinator for hospitals, birthing centers, and primary care physicians. Complete data sorting and linking processes in collaboration with the Operations Analyst II in the Data Informatics Unit within established timeframes. Complete necessary data corrections as requested by the Screening Resource Coordinator.

Serve as the Early Hearing Detection & Intervention Advisory Committee Coordinator. Assist the Leader with the management and coordination of committee meetings, document council activities, provide information to the council members, publish announcements, create agendas and notes, prepare travel documentation, edit, and prepare presentation materials for routing, and collaborate with the web team to maintain current information on the Department’s website. Meet coordinator deliverables and due dates using a detailed workplan.

Provide support for the electronic screening and diagnostic reporting system, eReports. Establish new user accounts and password resets, as necessary. Provide technical assistance, orientation, and support for eReports users. Reach out via email and phone to screening providers, audiologists, and primary care physicians to encourage electronic reporting of results.

Participate in planning and implementation of continuous quality improvement program activities.

Participate in various workgroups, meetings and conferences related to newborn hearing issues or as assigned.

Required Knowledge, Skills, and Abilities:

Ability to establish and maintain effective working relationships with others. Possesses strong written and verbal communication skills. Knowledge of grammar and proof-reading skills are essential to this position. Ability to compose correspondence. Ability to organize data and information into logical format for presentation in reports, documents, and other written materials. Ability to read, understand and apply applicable rules, regulations, policies, and procedures. Ability to handle telephone calls in a courteous and effective manner. Experience using and creating Excel spreadsheets and other Microsoft Office programs to perform basic data analysis. Ability to schedule and coordinate assigned work responsibilities. Ability to work independently. Ability to review work for accuracy and quality of content. Ability to determine work priorities and ensure completion of assignments. Ability to meet deadlines. Ability to organize and maintain filing systems.

Preference will be given to those who meet the following minimum requirements:

  • Two years professional experience working with Excel spreadsheets and Microsoft Office.
  • Two years professional experience working with databases.
  • A bachelor’s degree.
