Scope of Position: Under the supervision of the controller the Staff Accountant maintains financial reports, records, and general ledgers; Responsible to review and approve entries of other Staff Accountants and Accounts Payable specialists.

QUALIFICATIONS:

Education & Experience - Required

Ten or more years of experience including full charge bookkeeping – journal entries, posting, payroll, reconciliations, and financial statement preparation; or

Associates Degree or 2-year Certificate in Accounting and 8 years of experience; or

Bachelor’s Degree in Accounting and 1 year of related experience which could include internships.

Knowledge, Skills, and Abilities: Must possess basic math skills, the ability to analyze figures, knowledge of accounting principles and excellent verbal and written skills. Must be able to multi-task, establish priorities and organize efficiently. Knowledge of computers and familiarity with accounting software is essential.

Ability to:

  • Perform mathematical calculations quickly and accurately including to add and subtract, multiply, and divide, and calculate percentages, fractions, and decimals.
  • Understand the organization, operation, and services of The Salvation Army as necessary to assume assigned responsibilities.
  • Implement and maintain filing systems.
  • Work under steady pressure with frequent interruptions and a high degree of outside contact by phone or email.
  • Read, understand, and review documents for accuracy and relevant information.
  • Deal successfully with all individuals, in person and over the telephone; respond tactfully, clearly, concisely, and courteously to issues, concerns, and needs.
  • Adapt to changing technologies and learn functionality of new equipment and systems.
  • Type and enter data at a speed necessary for successful job performance.
  • Understand and follow oral and written instructions.
  • Establish and maintain effective working relationships with those contacted within the course of work.

Summary of Responsibilities:

  1. Coordinate financial accounting transactions to keep a complete set of records of accounting transactions for divisional unit’s bookkeeping systems.
  2. Review accounting figures to see that they comply with Salvation Army Divisional Headquarters (DHQ) standards of accounting.
  3. Reconcile accounts.
  4. Review adherence to financial policies and procedures to ensure compliance with funding sources.
  5. Assist in the preparation of audit materials.
  6. Perform tasks auxiliary to accounting functions, which may include written correspondence, special report preparation, attendance at meetings, etc.
  7. Work with program directors and corps officers to prepare annual operating budgets.

Essential Duties:

Staff Accountants will be expected to know all the functions related to maintaining the general journal, contracts and grants, bank functions, lines of credits, depreciation and closing entries.

  1. Prepare and post journal entries.
  2. Reconcile cash reserve accounts maintained at territory headquarters with local balances.
  3. Review accounts payable batches to verify general ledger coding and ensure accurate and timely payments and posting, and the Salvation Army policies and procedures are followed.
  4. Prepare entries to record cash deposits by the individual units and monitor deposits to ensure deposits are made on a timely basis.
  5. Maintain general and subsidiary accounts.
  6. Post interest income for endorsements other invested division funds.
  7. Ensure timely and accurate month-end and year-end closing.
  8. Reconcile journal entries.
  9. Reconcile exchange and transmission accounts.
  10. Coordinate procedures with accounting staff for month- and year-end closings for field units.
  11. Participate in preparation of internal, external, and funding source program compliance audit schedules and assist with audits.
  12. Analyze and reconcile balance sheet/general ledger accounts and initiate adjustments or corrections as necessary.
  13. Prepare daily deposits for funds received at DHQ and take the deposit to the bank; ensuring that all deposits are made on a timely basis.
  14. Assist Controller and Finance Director as requested.
  15. Regular and punctual attendance.
  16. Other duties as assigned.
  17. Post biweekly payroll with general ledger interface reports.
  18. All other duties as assigned.

Physical Requirements:

May require long periods of sitting at a desk using a personal computer and telephone. Able to walk, sit, stand, bend, squat, climb, kneel, and twist on an intermittent or sometimes continuous basis. Must occasionally lift and move up to 25, usually file boxes.

While performing the duties of this job, the employee is regularly required to sit; use hands to finger, hand, or feel objects, tools, or controls; to talk or hear; reach with hands and arms. Specific vision abilities required by this job include close vision and distance vision.

Works on many projects at once with interruptions and noise from ringing telephones, printers, copiers, and walk-in traffic, multiple deadlines, and competing priorities. Frequent phone and in-person contact with people from diverse backgrounds who may be angry, hostile, confused, or frustrated.

Working Conditions: Divisional Headquarters office hours are from 8:00 AM to 4:30 PM. The Finance Department supports field offices from 7:30 AM to 5:00 PM Pacific Time, with core hours between 8:00 AM – 4:00 PM. Coverage of the full range of department hours is accomplished by flexing hours within that range. This employee will establish a regular daily schedule with their supervisor between the hours of 7:30 to 5:00.

There are two paid 15 minute breaks, mid-morning and mid-afternoon. Employees may elect either a half hour or full hour unpaid lunch, which will be established as part of their regular schedule.

Equipment Used: The following equipment is used: telephone, computer equipment, typewriter, fax/copy/scan machines, 10-key calculator. Required to operate a computer terminal to enter, update, correct or retrieve information. Pressure to meet deadlines. Long periods of sitting at a desk. Regular and punctual attendance is an essential function of this job.
