Job Summary

The position entails working hand in hand with the on-site Construction Managers and support staff and ensuring that all material, manpower, and equipment needs are met seamlessly at all times. Office coordination duties such as responding to inquiries, making orders, receiving inventory, and other tasks of the construction work environment are also included.

Key Responsibilities

  • Manage and organize project documentation including drawings, specification, correspondence, and other essential documents.
  • Enter project-related data into document management systems or spreadsheets accurately and efficiently.
  • Review project documents for accuracy, completeness, and compliance with the project requirements and standards.
  • Conduct quality checks on project documents to identify any discrepancies, errors, or inconsistencies that may impact project deliverables.
  • Coordinate document control processes, including version control, distribution, and archiving.
  • Prioritize daily tasks, multitask, and navigate diverse personalities effectively.
  • Demonstrate eagerness to take on new responsibilities and learn new tasks.

Preferred Qualifications

  • 2-5 years of relevant work experience with a background in construction. Ability to work independently, to prioritize and manage time and stress effectively. Excellent written and spoken communication skills.
  • Proficient in using Microsoft Office suite, advanced analytical proficiency. Able to handle confidential matters with a strict level of professionalism.
  • Prior experience managing budget and timelines.
  • Understanding of relevant construction management principles and technicalities.
  • Possess excellent organizational, interpersonal and people management skills.
  • Using document management software to upload & download documents, distribution of these documents to the appropriate personnel and control of Company’s transmittal log(s) for various projects.
  • All these activities must be done in a timely manner as required by the supervisor.
  • Assist in document searches & audits to ensure timely response to documentation request(s).
  • Must be able to send reminders on upcoming submittals and expedite late submittals.
  • Creating and Request for Information (RFIs) or Request for Deviations (RFDs) as requested using Company’s standard templates.
  • Conduct research, compile data, and prepare logs for consideration and presentation.
  • Attending meetings and communicating as directed.
  • Must adhere to and comply with all safety regulations.
  • Interface with Clients and Customers on a limited basis.
  • Must maintain a high degree of confidentiality with business data and events.
  • Must be able to read, write speak and communicate effectively in English.
  • Conduct business and interactions with a positive attitude that projects the highest level of professionalism.

Education and/or Experience:
Associate degree and/or high school diploma with a minimum of (3) years’ experience in working within similar production needs.
Physical Demands and Work Environment:
The physical demands: ability to lift 20 pounds on a regular basis. Ability to sit for extended periods of time and use a combination of both hands/arms to perform daily task.
Employee will be working in a shop office and will on a regular basis be required to walk through the shop and outside as duties require.

Oral Comprehension – The ability to listen to and understand information and ideas presented through spoken words and sentences.

Information Ordering – The ability to arrange things or actions in a certain order or pattern according to a specific rule or set of rules (patterns of numbers, letters, words, pictures, mathematical operations).
