EDUCATION AND PROGRAMS ASSISTANT

The Education and Programs Assistant is a full-time position. The position provides administrative support and the development and implementation of programming for Youth and Families, K-12 and Adult learning opportunities. The Preservation Society offers a robust schedule of offerings, organized by seasonal themes. This position requires some evening hours, weekends, and holidays. Schedule hours are made in coordination with seasonal offerings.

RESPONSIBILITES:

The Education and Programs Assistant is a member of The Preservation Society of Newport County’s (PSNC) Museum Affairs Department, and reports to the Education and Programs Manager. This position plays a vital role in ensuring the smooth operation of our public programming through interface with the public, PSNC Members, and other departments within the Preservation Society. The position works closely with colleagues in Marketing, Development, Museum Experience, Special Events, IT, and Finance in order to ensure seamless administrative organization. 

Existing programs offered by the Preservation Society are as follows:

  • Public Lectures
  • Family and Youth Programs (seasonal)
  • Curriculum-based School Programs (seasonal) 
  • Research Fellows Program (annual)
  • The Newport Symposium (annual)

Primary responsibilities include providing audience support via telephone and email for program registrants, assisting with the coordination and organization of content, logistics, and schedules for all program offerings, as well as tracking budget. All programs require advanced planning with relevant departments for site availability and respective setup and/or staff/volunteer needs.

LECTURES/SYMPOSIUM

  •  Assist with coordinating travel schedules and presentation-deliverables for speakers (including booking hotels, answering travel questions, and processing paperwork)
  •  Swiftly address inquiries and assist with any issues related to programming, including aiding audience members with tickets and registration.
  • Assist coordination with marketing in the design and delivery of website content, evites and social media posts.
  • Assist with the creation and maintenance of relationships with partner organizations and speakers for continued collaboration.
  • Track budget expenses and process honorariums and reimbursements.

YOUTH AND FAMILY PROGRAMS

  •  Assist with registration for programs and respond to inquiries.
  •  Assist coordination with marketing in the design and delivery of website content, evites and social media posts.
  • Track the budget related to programs and the stock of art and craft supplies. 
  •  Organize with the PS Volunteer Coordinator to receive volunteer assistance for programs.
  • Assist with the creation and maintenance of relationships with educators, school groups, and community partners.
  • Assist in family program set up and facilitate programming as needed.

This position may contribute to the development of grant proposals as well as educational content for school groups and the website.

Requirements

The desirable candidate will possess the following qualifications:

  • A Bachelor’s Degree in Education, History, Art History or another related field
  • At least two years, full-time experience at a similar or comparable institution
  • Strong organization and planning skills with the ability to manage multiple projects simultaneously while responding to shifting priorities.
  •  Strong communication, writing, and editing skills with the flexibility to adjust communication style to accommodate the needs of the audience, diverse backgrounds, and abilities.
  •  An established proficiency in PC and Mac operating systems in addition to all Microsoft 365 applications (Word, PowerPoint, Excel, and Outlook)
  •  Knowledge of point-of-sale software, specifically Siriusware
  •  Experience working with Zoom Webinar format for programming purposes.
  •  Confidence in coordinating and designing informational flyers and graphics, in Canva preferred.
  •  Effective at supporting multiple aspects of program development.
  • Demonstrated interest in programming that centers on art history, architecture, design, preservation and cultural topics.
  •  Enjoyment when interacting with members of the public.
  • A proactive nature to anticipate rather more so than react.
  • Have confidence to handle troubleshooting.
  •  Most importantly, this candidate is highly personable and energetic; able to be enthusiastic in their work, has good judgement and sense of humor to maintain perspective; most importantly, is a lifelong learner.
