The Attendance Clerk is a critical component of our school’s culture and plays an integral role in administrative support. The attendance clerk is responsible for clerical work involved in accurately maintaining scholar attendance records and assisting scholars, families, and teachers in all matters related to scholar attendance. Possessing excellent organizational, writing, and editing skills and an ability to anticipate the needs of others, the attendance clerk takes initiative to make the work of the human services team, office manager, receptionist, and classroom teachers more efficient. This position also provides front desk support including, but not limited to answering phones, taking messages, directing calls, coordinating general school office operations, and greeting and attending to school visitors, school staff, and scholar requests. TPS staff members are supportive, thoughtful, creative, relentless, and unbelievably motivated. They work together, learn from each other, and do whatever it takes, day in and day out, to make sure their scholars succeed.

Qualifications

  • Education: High School Diploma or equivalent
  • Bilingual in Spanish and English
  • Proficient in use of word processing, spreadsheet, and database computer applications
  • Knowledge of general office procedures and office machines (computer, fax, and copier). 
  • Record keeping techniques
  • Telephone techniques and etiquette
  • Interpersonal skills using tact, patience and courtesy. 
  • Data entry techniques
  • Ability to enter data in computer quickly and accurately. 
  • Accurately maintain records and prepare reports. 
  • Accurately compile, review, verify, and record attendance data and generate reports. 
  • Make mathematical calculations quickly and accurately. 
  • Operate office machines. 
  • Type 40 words per minute with speed and accuracy. 
  • Understand and follow oral and written instructions.
  • Communicate effectively and interact appropriately with coworkers, scholars, families, and the general public. 
  • Assist callers and visitors to the attendance office.
  • Plan, organize, and prioritize work to meet schedules and deadlines. 
  • Work calmly and efficiently under pressure, at times under high stress, with constant interruptions, adhering to set policies and procedures. 
  • Comply with and explain The PATH School’s policies and state regulations regarding scholar attendance. 
  • Attend in-service training, conferences and meetings, as assigned
  • Work cooperatively with others and use good judgment. 
  • Strong English and Spanish usage, grammar, spelling, punctuation and vocabulary 

Essential Functions

  • Under minimal supervision, accurately prepares and maintains scholar attendance records and reports. 
  • Performs a wide variety of clerical and secretarial duties and operational support activities. 
  • Works at the front desk acting as a receptionist and issuing readmit slips to scholars. 
  • Creates and distributes scholar registration and orientation information packets. 
  • Creates and accurately maintains an annual computerized and standard filing system containing courses, classes, calendars, and other required data for permanent scholar attendance records. 
  • Performs scholar attendance accounting and related activities.
  • Develops attendance PATHs to Excellence for all attendance procedures.
  • Trains clerical staff and teaching staff in attendance procedures.
  • Accurately prepares a variety of scholar attendance reports including average daily attendance reports by scholar or class for program analysis and projection purposes. 
  • Accurately prepares a variety of scholar attendance reports including average daily attendance reports by scholar or class for leadership team meetings and board meetings. 
  • Prepares accurate daily scholar absence lists for staff. 
  • Maintains accurate tardy data in the scholar information system. 
  • Maintains a list of scholars who leave campus for various reasons during the school day. 
  • Verifies scholar absences by contacting families, teachers, or other by using another approved method. 
  • Communicates with families to ascertain reasons for scholar absences.
  • Assists Human services team with communication to families of scholars who are having attendance and/or academic challenges in school.
  • Accompanies the Human services team or other site personnel on home visits. 
  • Performs other duties as assigned.
