Job Description

We are a local family-owned HVAC company seeking a dedicated and organized Office Manager to join our team. The Office Manager will play a crucial role in ensuring smooth operations by managing scheduling for staff, service, and installation appointments, and providing support/backup to the management teams, CSR reps, and Service Techs. The Office Manager runs operations for accounting/billing, HR Functions, and offers administrative assistance across various other operational activities. The ideal candidate will be detail-oriented, possess excellent communication skills, and thrive in a fast-paced environment.

Office Manager Job Responsibilities:

  • Supports company operations by maintaining office systems and supervising staff.
  • Responsible for all transactional activity in AR/AP, month-end closing processes in QuickBooks, weekly Check runs, monthly bank reconciliations, and sending reports to the Director of Finance
  • Maintains office services by organizing office operations and procedures, preparing payroll, controlling correspondence, designing filing systems, reviewing and approving supply requisitions, and assigning and monitoring clerical functions.
  • Provides historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records.
  • Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
  • Designs and implements office policies by establishing standards and procedures, measuring results against standards, and making necessary adjustments.
  • Completes operational requirements by scheduling and assigning employees; following up on work results.
  • Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends.
  • Maintains office staff by recruiting, selecting, orienting, and training employees.
  • Maintains office staff job results by coaching, counseling, and disciplining employees, and planning, monitoring, and appraising job results.
  • Achieves financial objectives by preparing an annual budget, scheduling expenditures, analyzing variances, and initiating corrective actions.
  • Contributes to team effort by accomplishing related results as needed.

This position offers a typical 8 to 5 pm work schedule (with some flexibility in hours) and a full benefits packet.

Qualifications

  • Associates/Bachelors degree preferred but not required
  • Two to three years’ experience in an office manager setting with HVAC or Trades experience preferred 
  • 3 years with proven skills managing accounting and HR related functions
  • Proficient with office software
  • Quickbooks and PayChex Experience preferred
