The Open Window School is Hiring an Auxiliary Programs Manager Near Bellevue, WA

Position Overview

Open Window School seeks an experienced youth programming professional to join our growing Auxiliary Department as an Auxiliary and Summer Programs Manager (APM). The Auxiliary department oversees After Care, After School, Athletics, and Summer Programming along with managing the logistics of the school's transportation program. This role's primary responsibility will be to oversee our popular summer program serving upwards of 250 campers weekly. Providing daily on-site leadership while programs are in session, the APM will ensure all camp programs are safe and high-quality.

The APM will work with the Director of Auxiliary Programs to design, market, and run our 5-week summer program. The person filling this position will oversee the hiring, onboarding, and training of the Summer Leadership Team and all summer staff, design and develop the program, and work with families throughout the registration process.

In addition to overseeing the summer program, this position will collaborate with our Auxiliary Programs Manager on the After School and After Care program including overseeing non-school day care, supporting our athletics events, and seeking out additional new programming.

The APM will also serve as the point person for our transportation program. They will work with our transportation providers to establish bus routes, enroll families, and help ensure a successful transportation program.

This person must have self-confidence, integrity, and an entrepreneurial spirit that will facilitate partnerships with different departments in the school and the broader community.

The APM is a member of the Auxiliary team and reports to the Director of Auxiliary Programs.

Major Areas of Responsibility/Specific Duties:

  • Summer Program Leadership
    • Partner with the Director of Auxiliary Programs and Business Office to develop a summer budget.
    • In collaboration with the Director of Auxiliary Programs hire and supervise the summer leadership team.
    • Partner with the Business Office to recruit and onboard summer vendors, teachers, and staff.
    • Serve as the main point of contact for summer families.
  • Summer Program Development
    • Oversee program design and content development.
    • Review program curriculum from summer teachers.
    • Partner with the Communications Department to develop summer website, catalog, and marketing plan.
    • Partner with multiple departments to coordinate the use of school resources, classrooms, and campus spaces.
    • Design and run training sessions for summer vendors, teachers, and staff.
  • Summer Program Logistics
    • Coordinate the day-to-day running of the summer program.
    • Manage all aspects of registration.
    • Partner with the Director of Auxiliary Programs to order and maintain classroom supplies.
    • Contract with vendors for summer events.
    • Coordinate end of summer clean-up.
  • After School Responsibilities
    • Assist with After Care and Athletics as needed including but not limited to; running activities in After Care, helping host home athletic events, supervising study hall, etc.
    • Schedule staffing and develop programming for school events that require childcare.
    • Partner with the other members of the Auxiliary Department to identify opportunities for Auxiliary Programs’ growth.
  • Transportation Coordinator
    • Manage all aspects of registration.
    • Work with our transportation provider to establish bus routes and be their main point of contact: including defining routes, coordination with stop land owners to get permission, ridership tracking, and coordination with bus provider.
    • Main point of contact for families and drivers.
    • Coordinate the dismissal process for our afternoon bus routes.
    • As needed, support the lower school and middle school to schedule their field trip’s transportation needs.
    • Administer investigations and resolutions for routine and non-routine issues.
  • Other duties as needed and assigned.

Qualities & Qualifications:

  • Bachelor’s Degree and/or relevant experience.
  • Three or more years leading a Summer or After School program, or an equivalent combination of education and experience.

  • Strong computer skills and proficient user of Microsoft Office, as well as a willingness to learn new technology including our Camp Brain registration system as needed.

Position Details:

Manager: Director of Auxiliary Programs

Compensation: $67,750 - $70,480 per year

Position Classification: Exempt, Full Time, 12 months

Hours: 10:00-6:00 during school year, 8:00-4:00 during non-school days, occasional evening or weekend work required. Summer hours will vary depending on program needs but will be between 7:30am – 6:00pm.
