The Moody Bible Institute is Hiring a Digital Records Management Specialist Near Chicago, IL

Under the supervision of the Director, Enterprise Infrastructure Services, this position assists in the intake, curation, and final disposition of the Institute’s physical and electronic records. Assist stakeholders in assessment of records to determine digitalization strategy.

Essential Functions

Reasonable accommodation may be made to enable individuals with disabilities to perform the essential functions of the position.

  • Maintain paper records under curation of Records Management per established policy.
  • Digitize existing records per established policy.
  • Work with Records Manager and stakeholders to establish records needs as well as determine if records can be kept digitally.
  • Care and maintain Digital Records Management system.
  • Works with local teams to identify and remediate records filing concerns.
  • Educates users on standards for records management, including proper filing within physical and document management systems and proper naming conventions for documents and associated retention policies.
  • Facilitates the appropriate disposition of electronic records, including archival and destruction.
  • Works with the Records Manager to develop and/or revise internal procedures associated with records management, including usage of any document management system.
  • Work with off-site storage and records destruction vendors to maintain and dispose of records.
  • Fulfill other duties as assigned

Minimum Requirements

  • Familiarity with Microsoft Office software, office equipment (computers, multi-function printers, label makers etc.).
  • Ability to understand and use multiple filing systems for differing sets of records.
  • Ability to communicate both written and verbally effectively in a professional office environment.
  • Able to work in the US legally without sponsorship.

Preferred Requirements

  • Associates Degree in Communication
  • Three years of records management experience
  • Experience working with records management software.
  • Experience working with electronic document records management systems.

This is a full-time position based at the Chicago, IL main campus. This position is expected to be on campus at least four days a week with the option of the fifth day working remote.

This position is expected to work Monday through Friday, typically 38.75-hour. Some overtime may occasionally be required. Walking around campus to drop off and retrieve records is a normal part of the role. Standing, sitting, bending, working on the floor, and lifting boxes up to 50 lbs. is normal.
