JOB SUMMARY:
The Lookout at Lake Chelan is currently seeking an organized and responsible team member for The Service Department Administrator position.
POSITION OVERVIEW:
The Service Department Administrator is an important part of the Guest Services Team that supports and facilitates the day-to-day operations of the Service department and serves as the primary contact for homeowners, employees, and resort guests regarding service requests. The SDA fields service inquiries and obtain information, initiates work tasks, and provides appropriate follow-up as needed. As part of this responsibility, the SDA will develop and manage reports and processes and interact with field personnel to schedule work & tasks efficiently. A successful SDA must have the ability to function as a part of a team and be able to think creatively and critically.
ESSENTIAL DUTIES & RESPONSIBILITIES:
- The central point of communication for Homeowners, Guests, and Resort Staff regarding service requests
- Relay work orders, messages, and information to or from work crews, supervisors, and field personnel
- Facilitates the work order pipeline
- Arrange for necessary repairs & service calls when appropriate
- Schedule service with outside vendors when appropriate
- Orders parts, supplies, and materials as needed
- Ensure that work orders created from resort inspections are complete
- Oversees the Service Department response process, ensuring all inquiries receive a response within 24 hours of submittal
- Utilized resort systems such as Escapia, Breezeway, FastFields
- Invoice for services rendered throughout the month
- Communicate with Accounting to invoice for additional services
- Provide support to other resort departments to ensure that scheduled repairs are followed through to completion.
- Ensure that invoices from outsourced service providers are accurate.
- Ensure that homeowners' monthly charges are accurate.
- Assist guests with the reservation process as needed
