POSITION OVERVIEW:

The main responsibility of the Purchasing Administrator is to assist with acquiring supplies and services for residential properties at the best value, and helping expedite the process for properties to receive goods and services. The central duties include management and review of all purchase orders, identifying suppliers, reviewing the company’s purchasing agreements and ensuring materials and services meet the company’s standards and budget requirements.

ESSENTIAL FUNCTIONS:

  • Manage purchase orders and provide necessary approvals using discretion and good judgement
  • Review purchase orders submitted via software and proposals for supplies and services
  • Manage vendor relations; negotiating product pricing to achieve the best value
  • Review all bid submissions and make recommendations based on experience and knowledge to determine the best bid
  • Oversight of Service/Contract Agreements
  • Help coordinate and communicate approved product and pricing terms with the field
  • Act as liaison with vendors and property managers regarding updates to products, as well as administration and access issues
  • Periodically run reports to review purchase histories across products and/or specific vendors
  • Periodically provide cost analyses on product lines
  • Work directly with Director of Capital Projects and Procurement to establish and help implement best practices for entering purchase orders
  • Research product information and perform product searches online for non-standard product needs
  • Work with key vendors to help establish approved product catalogues and price books; engage in pricing negotiations as needed
  • Review service agreements and working with contract administrator to prepare contracts as needed
  • Additional duties as assigned

QUALIFICATIONS:

  • Prior experience in procurement or property management/management required
  • Technical knowledge related to property or maintenance management a plus
  • Expertise in Microsoft Office Products
  • Excellent written and verbal communication skills
  • Ability to Problem-solve and handle multiple projects at one time
  • Analytical and detail-oriented
  • Ability to prioritize and organize tasks
