Job Description

We are seeking an experienced professional to oversee the management and operational success of our real estate portfolio. This role involves direct oversight of property management teams, ensuring optimal tenant relations, and maintaining the physical and financial health of properties. The successful candidate will demonstrate proficiency in managing real estate assets, particularly within office and retail, and possess strong leadership qualities to guide multiple teams. The Vice President of Property Management will provide leadership, direction, and support to team members striving for property management excellence in a cooperative team environment.Primary Responsibilities:

Operational and Tenant Management:

  • Lead property management teams to ensure effective daily operations, tenant satisfaction, and maintenance of property infrastructure.
  • Conduct regular site inspections to evaluate property conditions and implement competitive strategies.
  • Collaborate with Facilities Management to address building systems and structural concerns.
  • Oversee risk mitigation strategies and ensure compliance with regulatory requirements.
    Contribute to lease negotiations and ensure adherence to terms.
  • Foster professional relationships with tenants, vendors, and community stakeholders, enhancing tenant engagement in alignment with our environmental and social goals.
  • Assists with lease language review and provides input during lease language negotiation. Ensures adherence to tenant lease terms once final.
  • Provides input during development meetings to ensure operational needs are met relative to amenities build-out, tenant improvements, spec suite improvements and new developments. Monitors on-going development activity.
  • Must take ownership of the assigned portfolio and support the Property Management teams as necessary in responding to emergencies and after-hours requests.
  • Ensures staff have the training, tools and resources needed to be successful.

Financial Oversight: 

  • Oversees and participates in the budgeting processes and share responsibility for the portfolio’s financial performance of assigned real estate portfolio.
  • Monitor and analyze operational and financial reports to optimize revenue and control expenses.
  • Oversees the preparation of various reports summarizing the financial, operating and capital, leasing, and marketing activity for each property for internal and external distribution.
  • Reviews, approves, and helps oversee CAM estimate and CAM reconciliation processes.
  • Ensure efficient vendor performance and manage accounts receivable to address delinquencies promptly.
  • Collaborates with Finance and Asset Management to meet LHMRE and LHMCO reporting needs.
  • Helps ensure adherence to CC&Rs, Leases and lender requirements to avoid penalties and defaults.

Performance Improvement:

  • Identify and execute strategies to maximize property value and performance.
  • Oversees and participates in the development and implementation of detailed value-added strategies to maximize net operating income, distributable cash flow, appraised value and market value.

Acquisitions and Dispositions:

  • Engage in due diligence for new acquisitions and dispositions, offering comprehensive asset assessments and planning for portfolio growth.
  • Participates in the technical review of assets, conducts inspections and walk-throughs, and provides comprehensive and detailed assessment of asset-existing conditions and required improvements.
  • Participates in due diligence for pending acquisitions including lease abstract reviews, service contract reviews, tenant interviews, on-site physical asset reviews, financial reviews, development of pro-forma cash flow projections, market analysis, review of third-party environmental, engineering and appraisal reports.

Team Management and Development:

  • Supervise property management staff, setting performance standards and fostering professional growth.
  • Ensure effective collaboration within the company and adherence to policies and procedures.
  • Recommends performance standards, training and performance development, compensation and job-level changes and evaluates actual performance of staff.
  • Supervises Property Management staff in creating effective communications and collaboration with other company departments.
  • Maintain compliance with all company policies and procedures.
  • Perform related duties as assigned by supervisor.

Qualifications:

  • BA/BS in business, economics, or a related field.
  • 12-15 years of progressive experience in real estate asset management, with experience in office and retail real estate required.
  • Demonstrated ability in team leadership, coaching, and performance management.
  • Strong local market knowledge and experience
  • Strong organizational, prioritization, and communication skills.
  • Proven success in real estate operations, tenant and vendor relations, and maintenance planning.
  • Deep expertise in financial management, budgeting, and reporting.
  • In-depth knowledge of real estate terms, lease administration, and contract interpretation.
  • Senior-level negotiation skills and the ability to convey technical information clearly.
  • Computer proficiency in Excel, Word, Outlook, and Yardi software.

This role requires a strategic thinker with exceptional attention to detail and the ability to manage multiple priorities in a dynamic, team-oriented environment.

Physical Requirements

This position requires frequent walking, standing, and climbing stairs in/around construction sites, apartment homes, models, and properties.

  • This position requires working outdoors in all weather conditions (to include but limited to, rain, snow, heat, hail, wind, and sleet), around hazardous chemicals, dust, dirt, and other particulates.
  • Must have the ability to read and comprehend large quantities of information, operate computer equipment, speak, hear, bend, stoop, reach, lift, move, and carry up to 25 lbs. independently.
  • Regularly required to sit, stand, bend, reach, and move about office setting.
  • To perform other duties as required.
