The Jockey Club is Hiring a Communications and Administrative Coordinator Near Lexington, KY

COMPANY

The Jockey Club, founded in 1894 and dedicated to the improvement of Thoroughbred breeding and racing, is the breed registry for North American Thoroughbreds. In fulfillment of its mission, The Jockey Club, directly or through subsidiaries, provides support and leadership on a wide range of important industry initiatives, and it serves the information and technology needs of owners, breeders, media, fans, and farms.

SUMMARY

The communications and administrative coordinator researches and produces copy that portrays The Jockey Club and its affiliated companies in a positive light. Such copy will be used in a wide variety of outlets, including but not limited to news releases, feature stories, websites, company brochures, and correspondence with industry and non-industry individuals and organizations. The communications and administrative coordinator also manages the social media outreach for The Jockey Club and many of its companies/initiatives and performs administrative duties as needed. The communications and administrative coordinator reports to the vice president of Communications.

Communications essential duties and responsibilities include the following. Other duties may be assigned.

· Write news releases and feature stories for The Jockey Club and its affiliated organizations.

· Manage the social media accounts (Facebook, Twitter, etc.) for The Jockey Club, BloodHorse, Thoroughbred Incentive Program, OwnerView, and other companies/charities/initiatives as needed.

· Circulate coverage of news that pertains to The Jockey Club.

· Contribute to the production of an in-house newsletter.

· Monitor social media outlets and circulate relevant stories, posted comments, etc.

· Draft letters and essays on behalf of the organization or senior management.

· Use writing and editing skills to assist in the production of brochures and programs, such as those used for Round Table Conference.

· Research and respond to external and internal inquiries relative to the records and performance of the Thoroughbred industry at large.

· Maintain and update The Jockey Club and OwnerView websites as needed, including the online fact book (quarterly).

Administrative essential duties and responsibilities include the following. Other duties may be assigned.

· Support Thoroughbred Incentive Program, including administration of Youth Ambassador Program.

· Assist the office of the counsel(s) of The Jockey Club with management of contracts and other duties as directed.

· Manage Equine Injury Database quality control and input Equine Injury Database reports as needed.

· Provide administrative support for industry relations and initiatives.

· Oversee and manage scholarship and summer internship programs.

· Support and contribute to diversity initiatives and committee.

· Receive and organize assistance grant requests. Upon approval by the Executive Director, also update tracking document, submit check requests and mail.

· Assist in event preparation and closure including sending out invitation and sponsorship mailings, updating the financial tracking documents, submitting vendor invoices to accounting, and donation receipting.

· Assist with Round Table and Members Meeting preparation including sending out invitations, and updating guests lists

· Assist with TJC Membership dues including sending out invoices, submitting checks to accounting and updating financial tracking documents

Responsibility for contacts

This position has contact with the board of stewards, members of The Jockey Club, senior management team, all other staff levels, the general public, the media, and vendors on a regular basis.

Education and/or Experience

Bachelor’s degree (preferably in journalism or communications), understanding of the Thoroughbred industry, and strong writing and language skills are essential.

Knowledge and Technical Skills

An advanced level of computer literacy in all areas of the printed word and social media. Proficiency in Microsoft Office.

Ability to absorb new programs as may be required to implement communications requirements including those designed for electronic dissemination.

Other

Attention to detail, thoroughness, and the ability to work quickly while maintaining accuracy.

Ability to prioritize projects and work assignments and to follow though in an efficient manner.

Data entry.

Filing, sorting, collating, and other clerical skills.

Proofreading and basic document research skills.

· Prolonged periods sitting at a desk and working on a computer

· Must be able to lift up to 25 pounds regularly and be able to move up to 50 pounds occasionally.

Work Environment

This position is performed in an office environment and has occasional periods of high-stress, time-sensitive activity.

Additional Information

Position requires willingness to be extremely flexible to meet externally influenced deadlines and individual internal preferences. Business travel will be limited.
