PORTIA BELL HUME BEHAVIORAL HEALTH AND TRAINING CENTER (aka The Hume Center) has a rewarding opportunity for a qualified Medical Biller under the leadership of The Hume Center’s Behavioral Health Operations Manager. This is an exciting opportunity to help our organization to grow by continuing to develop this department.

We believe in serving our community through strengthening existing and developing new resources; providing the highest caliber of culturally sensitive behavioral health services, professional training, and clinical research; and focusing on consistent improvement through outcomes, data-based quality assurance, and program evaluation.

DESCRIPTION OF JOB RESPONSIBILITIES

The Medical Biller prepares and submits insurance claims and invoices to clients or insurances as well as tracking payments and monitoring outstanding balances to ensure each account is paid on time and in full. They help our organization keep track of how much money is owed and by whom, often managing numerous client accounts at once. The ideal candidate must have excellent accounting skills as well as deep organizational skills to accurately handle all of the incoming payments, outgoing invoices, database updates, and more that make up their day-to-day responsibilities. On top of this meticulous attention to detail, the Medical Biller must also possess excellent communication skills to answer questions for clients, solve their issues, and keep them updated with relevant account information.

MINIMUM REQUIREMENTS

  1. A minimum of 1-year experience in billing is required.
  2. A minimum of 1-year recent data entry experience required.
  3. Bachelor’s degree preferred.
  4. Excellent knowledge of MS Office, and familiarity with Excel spreadsheets.
  5. Solid understanding and experience Google applications (i.e., scheduler, Google docs), insurance eligibility application, word processing, spreadsheets, and databases systems.
  6. Must have knowledge of ICD-10/HCPCS codes.
  7. Demonstrate flexibility to handle organizational needs.
  8. Must be willing to work evenings as needed.
  9. Be willing to use their own cell phone to be accessible and willing to be available to receive calls for crisis and/or emergency situations with supervisors and relevant colleagues.

RESPONSIBILITIES

  1. Maintain compliance with all required HIPAA rules, regulations, and guidelines.
  2. Contact Clinic Support Supervisor regarding clients with any eligibility/insurance issues to verify the accuracy of billing history or correct any errors.
  3. Provide excellent customer service to all clients, guidance and navigation regarding insurance coverage parameters, assist clients with relevant paperwork regarding financial assistance, completing financial documentation for qualifying for sliding scale fee and/or qualifying as Indigent, and/or follow up on eligibility regarding insurance ineligibility status and keeps records of financial information related to such clients.
  4. Create and send invoices and claims.
  5. Submit necessary billing information to the county in accordance with data entry timelines internally and externally.
  6. Keep track of services not claimed on time and/or not included on an invoice for payment.
  7. Keep track of payment source, number of sessions, and, if relevant, co-payments, share of costs, deductibles.
  8. Keep track of payments and follow up on overdue/withheld payments.
  9. Resolve billing errors or denials of ERAs
  10. Maintain data trail of all transactions entered into the system and billing history.
  11. Verify data entry by comparing it to source documents, run year to date encounter report monthly to reconcile any discrepancies.
  12. Provide the supervisor monthly units, performance, and productivity reports by service, provider, and program.
  13. Participate in Medicare, Medi-Cal, and EHR billing-related training.
  14. Stay up to date with relevant knowledge and skills in service data entry programs.
  15. Meet weekly with the supervisor to present the status of assignments, reporting on issues, trends, and relevant information.
  16. Participate in staff meetings and annual agency meetings.
