Administrative Assistant

Small, historic Non-Profit seeks a Monuments Coordinator/ Admin Assistant to begin on-the-job training immediately. This position will entail standard administrative functions, including assisting customers, answering telephone calls, filing, generating reports and processing paperwork. The position will also include data entry in various systems where attention to detail, confidentiality and critical thinking skills are paramount. Responsibilities Include:

  • Monument Coordination and reviewal
  • Vital data entry in a variety of database and file formats (on-the-job training is provided)
  • Maintain accurate inventory and ensure delivery of products and services; running reports on the same, position may include duties such as coordinating monument orders
  • Maintain core company files in an organized, efficient manner with a high level of accuracy
  • Process new orders, enter contracts and run reports on the same
  • Provide excellent customer service at all times, whether by phone or in person
  • General clerical support for Administration Department
  • Event support and special projects as assigned by Management
  • Work collaboratively with other departments to actively problem solve

This is a small office environment and our culture values honesty, integrity, accuracy and teamwork.

This is a full-time position with the expectation of working 40 hours per week from 8:30am to 5:00pm, Monday through Friday with a 30-minute unpaid lunch. Working Saturdays in rotation is required, which will be compensated with the prior Thursday off. The starting wage is $18/hour. Benefits include paid time off, health insurance, 401k with company match, life insurance, employee discounts and free on-site parking.

Qualifications:

  • 1 year of experience in office environment
  • Knowledge of basic math, critical thinking and analytical skills
  • Ability to handle confidential information with tact and professionalism
  • Proficiency in Microsoft Office Suite with emphasis on Excel, Word and Outlook
  • Excellent typing skills (60 wpm)
  • Excellent communication skills, written and verbal
  • Excellent customer service and interpersonal skills
  • Excellent time management and problem solving skills
  • Current Driver’s License and reliable transportation
  • Be able to pass a satisfactory criminal record check prior to start
  • Be able to lift and carry 25lbs, sit for long periods of time and push/pull a cart.
