Project Controls Travel/Expense Analyst

Overview:

The GBS Group is seeking a Project Controls Travel/Expense Analyst to support our Maritime Division located in our Virginia Beach, VA office. Project Controls Travel/Expense Analyst will be responsible for coordinating and tracking travel, the corporate card program and reconciliation across the travel expense platform through the financial systems, Additionally, this candidate

will support Project Managers in overseeing the financial health of the project by analyzing costs, revenue, risks, pricing and assisting with budgets and forecasting of costs. The Project Controls Travel/Expense Analysts compile and analyze financial information for both commercial and government contracts. Successful candidates should also be comfortable with performing other administrative functions as needed since we work in a team environment. This position reports directly to the Project Controller Manager under the oversite of the Director of Financial Controls.

Responsibilities will include (but are not limited to):

The Project Controls Travel/Expense Analyst will predominantly be responsible for project travel, expense management ,and invoicing as outlined below:

Stay current with Defense Travel regulations and assist/track travel logistics.
Maintain accurate records with real time status of travel logistics for employees on travel.
Verify reservations against budget estimates.
Ensure travelers receive respective approvals prior to travel and understand trave regulations and requirements.
Maintain and track company-paid travel expenses to ensure timely submission.
Review and approve expense reports.
Gather information and generate invoices for internal approval.
Format and finalize invoice to submit to customer.
Send invoices to customer and respond to any customer inquiries.
Enter Government invoices into WAWF.
Ability to understand and clearly communicate the requirements of contracts to the project teams.
Review contract documents and creates WBS Codes to enter in Accounting System.
Enter new jobs and modifications into the accounting system.
Add employees to job in the accounting system.
Assist Contracts on special reports.
Performs financial forecasting and reconciliation of project accounts.
Prepare financial deliverables for customers.
Create and track division and project budgets.
Develops integrated revenue/expense analyses, projections, reports, and presentations.
Creates and analyzes monthly/quarterly/annual reports and ensures financial information has been accurately recorded.
Using accounting system, generate reports and check for accuracy.
Prepare other special financial reports as needed.

Qualifications:

Candidates for this position must possess the following professional experience and qualifications:

Bachelor's degree in Finance, Accounting, business management or equivalent
Minimum of three (3) or more years of experience as a project and cost control or pricing specialist.

Desired Characteristics:

Should have a general understanding of contract types (especially FFP).
Familiarity with the Maritime/Defense industry and joint travel regulations
Government contract experience desired.
Government contract rate structures; DCAA and FAR knowledge.
Understanding of GAAP strongly preferred.
Prefer candidates with expertise in accounting, and Maritime/defense contract/subcontracts.
Communication and collaboration skills are essential.
Must be able to work independently under general supervision. A certain degree of creativity and latitude is required. Demonstrates accuracy and thoroughness, strong attention to details and ability to identify issues or inconsistencies.
Ability to work with minimal guidance and take ownership of work product.
Ability to work well with others in an open environment.
Previous experience working in Accounting Software.
