The Gary and Nikki Team - Keller Williams Realty is Hiring an Operations Manager Near Palm Harbor, FL

The ideal candidate for this position will have a PASSION for real estate and servant heart. This person is expected to uphold the standards of an established, reputable real estate team, founded on the basis of faith and family FIRST. The right fit for the position has a strong work ethic, focused attention to detail and a prophetic desire to cultivate the best in those around them. This person is not afraid to hold fellow team members accountable to the team or individual production goals, to the expectations of the team agreement nor to the customer service standards set forth in the team’s mission statement . The ideal Operations Manager will understand that they are a visionary for the team, and will have a keen sense for growth, expansion, contribution and service. The Operations Manager will work collaboratively with the “Rain Maker” of the team to identify additional revenue sources and investment opportunities, as well as participate in team discussions for improvements within policy, procedures and systems. This person will exemplify a kind, “can-do” spirit, with a willingness to help all, all while ensuring the integrity of the team is upheld.

What you’ll be doing…

1. Listing Management:

  • Coordinate and manage listings including prepping for the appointment with agents by preparing listing paperwork and team-related selling packets.
  • Ensure a high level of client satisfaction by anticipating needs and proactively addressing questions, ensuring clients are well-informed at every stage.
  • On the ground support of listings, including installation of signs, staging, and property checks as requested. Coordination of photographers, measurers, contractors and pre-market repairs.
  • Bi-weekly updates to sellers via ShowingTime reports.

2. Operational Systems Development:

  • Develop and document comprehensive operational systems, including but not limited to new employee and agent onboarding and training, transaction coordination, and compliance hand-off with transaction coordinator
  • Build and maintain standardized checklists and processes to ensure consistency and efficiency in daily operations.
  • Develop a centralized system for storing and accessing all procedures and training
  • Conduct regular training sessions to educate team members on new processes and systems.

3. Client Communication and Experience:

  • Proactively communicate with clients to provide updates on the status of their listing and address any concerns or questions promptly.
  • Anticipate client needs to ensure a smooth and stress-free experience throughout the listing and transaction process.
  • Establish and maintain a reputation for excellent customer service and responsiveness.
  • Answer day to day questions from sellers and buyers
  • Actively update database and client information
  • Plan, develop execute quarterly client-centric events with a specific initiative in mind
  • Coordinate with the Marketing Manager to outline, plan and execute a monthly calendar of marketing material to be distributed through CRM, social channels and print marketing.

4. Financial Tracking:

  • Track and manage financials to improve profitability, including budgeting, expense tracking, and financial reporting and donations.
  • Identify opportunities for cost savings and process improvements to enhance financial performance.
  • Report all spending activity to the Controller for accounting purposes.

5. Agent and Administrative Support:

  • Answering phone calls during the day, and managing emails for Gary and Nikki
  • Provide operational support to real estate agents, including scheduling, coordination and use of team shared calendar.
  • Collaborate with agents to ensure compliance with industry regulations and internal policies.
  • Conduct weekly team meetings and “huddles,” as well as one-on-one goal setting and accountability check-ins aimed at achieving production-based goals.
  • Act as a point of contact between agents and other internal departments, fostering effective communication.
  • Recruit new talent and on-board them, holding them accountable to team trainings as outlined in Team Agreement, as well as a 30-60-90 trial period with incremental objective

Minimum Requirements:

  • A current, active real estate license
  • TWO YEARS OF REAL ESTATE TRANSACTIONAL EXPERIENCE REQUIRED
  • Fluency using KW Command CRM platform and compliance submission tools is PREFERRED.
  • High school diploma required; associates or bachelors degree preferred
