POSITION SUMMARY:

The Student Records Specialist (SRS) will maintain the systems of operation to ensure that accurate and current records are maintained for students. The SRS is responsible for all student academic record-keeping for the school, including compiling, maintaining, and tracking student academic information and records for internal and external analysis and/or use. The SRS acts as the central records facilitator for permanent academic information on current and former students. The SRS will support the academic, supports, and special programs teams in meeting educational objectives and adhering to Texas State Standards. This position requires flexibility and an aptitude for working collaboratively with staff, faculty, students, and families. The SRS should possess exceptionally strong organizational and interpersonal skills and be detail-oriented, self-motivated, and capable of handling intricate projects.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

· Review and process new student enrollment applications.

· Create and maintain student records, ensuring the accuracy, completeness, and confidentiality of information.

· Maintain the accurate collection of all campus and student data into the student information system (SIS), including:

o Attendance, grading, scheduling

o Curriculum Master: courses, sections, and meets

· Ensure that campus and student data adheres to PEIMS/TSDS Data Standards

· Prepare and update the campus master schedule and calendars within the SIS.

· Oversee campus attendance data collection, entry, and reporting.

· Maintain and ensure the ongoing accuracy of physical and computerized records (student cumulative folders, progress and failure reports, transcripts, testing data, etc.).

· Monitor data quality, identify errors, and take necessary steps to correct and update records.

· Communicate with other schools to timely secure student records (transcripts, disciplinary, special education/504/ESL records, and state assessment history).

· Determine best practices for transcript evaluations and transcription into the SIS, including credit mapping out of state/country courses.

· Review and verify student graduation requirement report and testing history is accurate and ready for Student Success Coaches to utilize for graduation planning by the end of the student’s first term.

· Maintain membership information regarding new students, no-shows, transfers, and withdrawals providing weekly and term-end reports to Campus and District teams.

· Complete required beginning, mid, and end-of-term student data entry and processes, including:

o Special programs – special education, English as a second language, 504, homeless, at-risk, pregnancy related services, socio-economic status

o Student information – grade-level, attribution codes, grad req base year, diploma type, census block number, etc.

· Maintain campus student data changes within the Student Information System.

  • Process and transmit requests for student information, including student transcripts for alumni, colleges, and universities promptly.
  • Assist campus and district administration with the preparation of reports and student data information as is required for PEIMS/TSDS.
  • Regularly serves as a resource to campus staff and students regarding transcript questions, grades, and other related issues.
  • Verify that all graduates have met state and local requirements for graduation.
  • Collaborate with District and Campus teams for the development, implementation, and quality assurance of key processes of the Records Team.
  • Maintain and develop high quality work practices, systems, and methods that are effective, efficient, and consistent with District standards, policies, and procedures.

OTHER DUTIES AND RESPONSIBILITIES:

  • Provide excellent customer service by resolving issues, addressing concerns, and maintaining a professional and courteous manner.
  • Maintain confidentiality of information.
  • Archive and retrieve student records as needed, ensuring adherence to legal requirements and data privacy regulations.
  • Comply with policies established by federal and state law, including, but not limited to, State Board of Education and local Board policy.
  • Assist district and campus teams with outreach and engagement events throughout the school year (periodically at nights and on weekends).
  • Perform other related duties as assigned.

SUPERVISORY RESPONSIBILITY:

This position does not have supervisory responsibilities.

REQUIRED QUALIFICATIONS & EXPERIENCE:

· High school diploma or equivalent.

· Proven experience in records management, preferably in an educational setting.

  • Proficiency with MS Office Products, Google, and information management databases.
  • Ability to gather and analyze data to make informed decisions.
  • Strong attention to detail and accuracy in data entry and recordkeeping.
  • Collaborative mindset and ability to work effectively in a team-oriented environment.

PREFERRED QUALIFICATIONS & EXPERIENCE:

· Associate’s degree from an accredited college or university.

  • Two years’ experience with Student Information Systems.
  • Prior school registrar or school office experience.
  • Familiarity with TEA reporting requirements, course numbers, credits, transcripts, and diploma requirements.

COMPENSATION & SCHEDULE:

· Based on experience and qualifications.

· This is a 12 month position.
