PROJECT COORDINATOR
Full-Time / Santa Ana, CA (on site - NOT Remote)

Job Summary:
Will provide high-level administrative support to the Executive Directors and other senior staff.
Will organize, manage, and plan complex projects for the organization's research, development, and product implementation efforts.
Supervisory Responsibilities:
•Oversees a team of managers and analysts to ensure projects are completed on time and to specifications.
•Delegates work and assignments to team members based on expertise, work experience, and time constraints.
Duties/Responsibilities include, but are not limited to:
  • Provides high-level administrative support and assistance to the Executive Directors and/or other assigned leadership staff.
  • Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff.
  • Schedules and attends meetings on behalf of executives, taking notes and recording minutes.
  • Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
  • Performs additional duties as assigned by executives.
  • Performs other related duties as assigned.
  • Leads an interdepartmental team to complete an assigned project on time, to specifications, and with accuracy and efficiency.
  • Outlines the tasks involved in the project and delegates accordingly.
  • Conducts cost analysis, estimating expected costs for the project.
  • Prepares and implements a budget based on estimates.
  • Conducts risk assessments; reports identified risks to management; provides recommendations for mitigation of risk (including termination of the project if appropriate).
  • Addresses questions, concerns, and/or complaints throughout the project.
  • Acts as a liaison between company, customers, and vendors.
  • Ensures compliance with federal, state, local, industry, contractual, and company regulations, standards, specifications, and best practices.
  • Performs other related duties as assigned.
Required Skills/Abilities:
•Excellent verbal and written communication skills.
•Excellent organizational skills and attention to detail.
•Excellent time management skills with a proven ability to meet deadlines.
•Ability to function well in a high-paced and at times stressful environment.
•Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
•Extremely proficient with Click Up, Microsoft Office Suite or similar software with the ability to learn new or updated software.
•Strong analytical and problem-solving skills.
•Strong supervisory and leadership skills.
•Ability to prioritize tasks and to delegate them when appropriate.
•Thorough understanding of or the ability to quickly learn about the project or product being developed.
Education and Experience:
•Bachelor's degree in Business Administration or related field preferred, which may include Computer Science, Business, or Engineering, required.
•Project management certifications highly desirable.
•At least four years of related experience required.
Physical Requirements:
•Prolonged periods sitting at a desk and working on a computer.
•Must be able to lift up to 15 pounds at times.
