CLINICAL OPERATIONS MANAGER / Mental Health [Santa Ana, CA / NO Remote For This Position]
Job Type: Full-time
Pay: $27 - $35 per hour (starting pay will be based on experience)

SummaryThe goal of the clinical Operations Manager – Mental Health/SUD is to run clinical reports, keep supplies filled and up-to-date, train Mental Health Support Specialists/Clinical Secretaries, do intakes and monitor schedules. They will work directly for the Clinical Director and/or the Program Director, as well as, give guidance to staff in areas they are responsible for. They should be efficient and well-spoken with the ability to create relationships with a diverse population.
Responsibilities include but are not limited to:
  • Clinical Reporting
  • Review Limitless and correct issues with UAs. Submit, Fix or Edit Requisitions.
  • Monitor lab reports in KIPU and notify the Clinical Director of red flags.
  • Billing gap report.
  • Check for Overlapping Services.
  • Work with team to manage unsigned / incomplete notes.
  • Work with Billing Team to fix issues.
  • Check attendance tracker hourly and fix errors.
  • Operations
  • Paid to patient checks.
  • Contact family members or Clients to collect Paid to Patient checks.
  • Email and call the primary subscriber on the insurance policy to ensure the correct amounts are sent to Billing.
  • Manage Food Boxes, making sure they are assembled enough are on hand.
  • Supply fulfillment: Office, First aid and Mental Health Housing.
  • Manage client weekly meal plans.
  • Manage Mental Health Expenses and Receipts.
  • Bus Pass Management.
  • Manage Lyft Usage.
  • Intake Management
  • Monitor Admissions for upcoming Intakes.
  • Arrange transportation.
  • Manage Medical H&P Appointment.
  • Monitor / Process Intake Paperwork.
  • Manage communication with Admissions.
  • Manage Mental Health Housing Agreements.
  • Mental Health Support Specialist Direction
  • Daily summary of tasks for the Mental Health Support Specialist.
  • Training.
  • Problem Solving.
  • Medical
  • Med refills, contact patient insurance and coordinate mail order prescriptions.
  • Work with family for up-to-date insurance information.
  • Monitor Medical Appointment times.
  • Ensure payment methods for client co-payments are provided to pharmacy for medication.
  • Mental Health Support Specialist Duties

  • Monitor the safe keeping, distribution and compliance of client medications within Supportive Living
  • Facilitate client activities within Supportive Living.
  • Ensure the cleanliness and safety of the Supportive Living facility
Qualifications include but are not limited to:
  • Excellent verbal and written communication skills.
  • Knowledge of Mental Health and Clinical terminology, regulations, and Clinical office procedures; knowledge of Clinical coding is strongly desired.
  • Proficient computer skills, Microsoft Office Suite (Word, PowerPoint, Outlook, and Excel).
  • Positive Problem-Solving Skills.
  • Excellent analytical and time-management skills.
  • Organizational and multitasking skills.
  • Valid California Driver’s License.
  • CPR/First AID/Defibrillator required.
  • Mental Health Experience preferred.
  • 1-2 years’ experience in the field preferred.
  • Negative TB test results within past year.
  • Ability to pass pre-employment and random drug screenings.
  • Heavy frequency of computer keyboarding.
  • Heavy frequency of viewing a computer monitor.
  • Ability to sit or stand for extended periods of time.
  • Ability to lift up to 35 lbs.
