Job Summary:

Performs reception, general office and administrative duties for the West Henrietta site as required.

Essential Functions & Accountabilities:

  • Serve visitors by greeting, welcoming, and directing them appropriately. Notify company personnel of visitor arrival. Host and direct visitors as needed.
  • Manage the lobby, reception, and mail areas. Keep areas organized and free of clutter; coordinate with janitorial services to ensure cleanliness is maintained.
  • In partnership with onsite security, monitor visitor access and badges, maintaining security awareness always; ensure completion of paperwork, sign-in and security procedures.
  • Answer telephone, screen and direct calls.
  • Distribute mail, including interoffice and US mail, and occasionally alert employees to deliveries (ex: supplies, flowers, etc.) as needed. Update mailboxes as needed to ensure inclusion of required staff
  • Assist employees with coordinating rooms, catering, supplies and other resource requirements (ex: AV equipment) for meetings
  • Act as centralized point for all catering requests. Leverage volume for cost benefits when possible. Enable others to order when needed to ensure coverage of shifts and areas as needed. Coordinate delivery and payment of catering deliveries, especially for large group events.
  • Keep accurate receipts for expenses, and records for fundraising or other employee events. Submit expense reports as needed in a timely, accurate fashion. Occasionally create and maintain reports on expenses for projects, catering, or other categories as needed
  • Maintain the orderliness of the reception area, lobby, and conference rooms
  • Maintain strict confidentiality of all written and verbal communication as appropriate
  • Support the department with administrative and office support as needed
  • Responsible for organizing and/or supporting various employee functions
  • Maintain West Henrietta facility phone lists. Record emergency hotline updates as needed at senior management discretion
  • Record and distribute meetings minutes in an accurate, timely and discrete fashion for required meetings.
  • Ensure availability of basic office supplies, maintaining clean, organized supply area for employees. Restock as needed. Order special requests direct from vendor when not on hand
  • As business needs dictate, work extended hours to complete daily department goals or tasks to include mandatory overtime
  • Performs other duties as assigned.

Qualifications

Knowledge, Skills and Abilities:

  • Demonstrated ability to consistently project a friendly, upbeat, personable and professional attitude.

  • Solid knowledge using personal computer, telephone, copier and printer, as well as accessing/using Internet.
  • Strong organizational, multitasking, coordination and prioritization skills required, as well as ability to be flexible and change plans as business needs dictate.
  • Excellent oral, written, and interpersonal communication skills. Must be able to read, write and speak the English language.
  • Intermediate computer skills at a minimum is a must. Requires proficiency in Microsoft Office Suite, specifically Word, Excel, PowerPoint. Ability to learn and become proficient with new software as needed.
  • Ability to work with minimal supervision and display strong problem-solving skills
  • Professional, warm demeanor when working with customers and co-workers.
  • Must be comfortable with addressing conflict; able to escalate issues appropriately, communicate thoroughly, and diffuse stressful interactions while requesting assistance.
  • Adheres to Standard Operating Procedures and Regulatory requirements.

Work Environment:

  • Normal office environment
  • Sedentary to light physical effort necessary to perform the job

Experience:

  • Minimum 2 years’ experience performing similar duties in an office, administrative, or related role.
  • Experience with frequent positive customer interactions required.
  • Event planning experience strongly preferred.

Education:

High school diploma or GED required; or an equivalent combination of education and experience may be considered.

For U.S. locations that require disclosure of compensation, the starting base pay for this role is between $21.00 and $25.65 per hour and may include cost of living adjustments. The actual base pay includes many factors and is subject to change and modification in the future. This position may also be eligible for other types of compensation and benefits.
