TITLE
VA School Certifying Official
JOB SUMMARY
The VA School Certifying Official (SCO) will be responsible for ensuring that all students using VA education benefits are properly certified to Veteran Affairs so that they will receive their stipends and tuition payment in a timely manner. The SCO will work with academic advisors to ensure students using VA education benefits are registering for classes that are only applicable toward their degree program. They will also verify that repeat classes are certified by VA regulations, and several other requirements, before submitting terms to VA for payment. The SCO will also be responsible for communication with the Bursar's office to ensure payments are correct, as well as submitting any debt letters for overpayment caused when a student drops or withdraws after tuition and fees have been submitted to VA for processing. The SCO will work with the Registrar's office and Academic Advisors for any discrepancies on the student program EVAL at end of each term. The SCO will assist the Sr. VA representative with other duties and tasks required by the TWU Veteran Assistant office. Work is performed under general supervision and performance evaluation is based upon completion of assignments and results obtained. The performance evaluation is conducted through the performance evaluation system and in accordance with the University Policies & Procedures.
ORGANIZATIONAL RELATIONSHIPS
Reports to: Senior Registration Services Analyst
Supervises: No supervisory responsibility
ESSENTIAL DUTIES - May include, but not limited to the following:
* Receives, processes, inputs, and maintains all student VA certification and registration processing materials in an accurate, efficient, and courteous manner.
* Teaches, instructs, and supports TWU students, faculty, staff and campus community members in the details and information related to compliance with VA certification related policies, procedures, and processing face-to-face, online and over the phone.
* Assists offices, including Financial Aid, Admissions, and Admissions Processing, managing the RingCentral phone management system in a timely, courteous, and accurate manner.
* Organizes, files, and manages paper imaged, indexed forms related to student certification processing.
* Performs intake, guidance, preparation, research, and processing of student resolution and various appeal directives/information.
* Performs continuous academic course roster census verification and related audit ready preparations for census day and VA certification reporting accuracy.
* Routes checks for processing.
* Processes daily incoming mail.
* Inputs, maintains, and assists in processing computerized data.
* Organizes, maintains and researches unidentified documents.
ADDITIONAL DUTIES
* Indexes documents into OnBase.
* Proofs documents to verify entry into OnBase.
* Shreds documents.
* Mails information to prospective and current students.
* Performs other duties as requested.
EDUCATION
High school diploma required, some college preferred.
EXPERIENCE
Minimum of one year experience in an office setting is required or one year of active military service working with military affiliated personnel. Records management experience in higher education or similar setting is preferred. Working knowledge of imaging systems, databases, records retention schedules is highly preferred. Working knowledge of Veteran Affairs and education benefits preferred.
REQUIREMENT
Regular and reliable attendance at the University during regular scheduled days and work hours is an essential function of this position.

* Knowledge of Datatel, Colleague, Student Planning/Self-Service, MS Excel, MS Word.
* Must possess good customer service skills with the ability to communicate effectively orally, by phone, in person and in writing.
* Ability to multi-task and prioritize multiple tasks and services with deadlines.
* Ability to handle basic decision making and assess importance/priority of tasks, assignments, services, and projects.
* Ability to communicate, document, and train others on basic registration manual data entry and related office policies and procedures.
* Must have a working knowledge of office practices and methods.
* Ability to organize work effectively, conceptualize and prioritize objectives and exercise independent judgment based on an understanding of organizational policies and activities.
* Ability to establish and maintain effective work relationships with students, faculty, staff, and the public.
* Ability to use a personal computer and other office equipment, including related university software and email.
