Major Duties

Under general supervision of the Associate Registrar and Registrar, the Records and Registration Communications Coordinator will perform a wide range of written communications on behalf of the Office of the Registrar. The incumbent is responsible for communicating directly with students, the Office of the Registrar, other departments on campus, and third parties.

  • Oversees intake and responses to student letter requests; tracking of letter responses to ensure adequate processing time and quality control is maintained; assures that copies of letter requests and responses are preserved in the student record archival system; maintains a detailed log of communications, along with an archived log of past communications.
  • Provides high-quality support to students, staff, and faculty; manages student records including the various forms of enrollment, grade capture, records research and retrieval as well as building course history and fulfilling records requests from students, alumni, as well as other departments on campus.
  • Coordinates with third-party sponsors that require frequent student record verifications in the form of letters/forms; arranges the authentication (fmr. “Apostille”) process for diploma and/or official transcripts for students going abroad for work or continuing their education; acts as an in-house notary, and coordinates with the student and appropriate management for whom the notary must be present to authenticate a signature.

Qualifications

  • Equivalent to five (5) years of full-time, progressively responsible administrative or technical office management experience in an administrative capacity exercising independent judgment and leading the work of others.
  • Equivalent to full-time college or university education/vocational school training in business or job-related field may be substituted for up to two (2) years of the required experience.

Knowledge, Skills, & Abilities

  • Thorough mastery of: office methods, procedures, and practices; and correct English grammar, spelling, and punctuation.
  • Ability and specialized skills to: prepare letters, memos, and reports; transcribe minutes; make travel arrangements; analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions; apply judgment, discretion, and initiative in establishing priorities, providing follow-up and quality control.
  • Ability to use judgment and discretion to act when precedents do not exist; understand problems from a broader perspective and anticipate the impact of office administration problems and solutions on other areas.
  • Communicate effectively both orally and in writing; establish and maintain cooperative working relationships; effectively handle interpersonal interactions at all levels and handle highly sensitive interpersonal situations; operate standard office equipment and software. Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard or calculator and to operate standard office equipment.
  • Ability to mediate difficult public interactions with tact and a spirit of professionalism.
  • Computer literacy (database, electronic mail, word-processing, and spreadsheet applications in a PC windows environment) is preferred .

Pay, Benefits, & Work Schedule

  • Classification: Administrative Support Coordinator / 1035 / 2
  • The anticipated HIRING RANGE: $3681 - $4100 per month, dependent upon qualifications and experience. The salary range for this classification is: $3681 - $6034 per month.
  • HOURS: Full Time; 40 hours per week; Monday through Friday.
