The Brightwood, Guest Coordinator (Front Desk)

The Brightwood is a medical aesthetic practice, where the art of aesthetics meets the art of hospitality. The Brightwood provides a curated menu of medical skincare treatments, hand-selected from the best products and technology on the market. Our guests are busy and highly discerning––we deliver natural results with the exceptional experience, discretion, and convenience they need. Services include cosmetic injectables and minimally invasive skincare procedures focused on the face, neck and chest, delivered by our team of top aesthetic practitioners (injectors), all trained by and under the direct supervision of our Medical Director.

As our Guest Coordinator, you are a people person and enjoy speaking to others and making them feel welcomed and comfortable. You have a strong passion for aesthetics and skincare and desire to learn more about this field. You can grasp our menu of services to speak intelligently to our guests about them and our skincare products. You believe in always delivering a superior guest experience to match The Brightwood standard. You will routinely go above and beyond to deliver a best-in-class experience to everyone who visits our locations.

Responsibilities:

Guest Responsibilities:

  • Build strong, trusting relationships with our guests to establish a loyal base by making each guest feel invited and welcomed
  • Greet and welcome all guests by name
  • Check-in and take guest through entire sign in process including consent forms
  • Ensure guest profile is accurately updated at every visit following our standard operating procedures
  • Set up treatment room for each guest and bring them to the room when ready
  • Take proper before and after images of guest
  • Complete payment and check out process for each guest
  • Schedule each guest for a follow up appointment
  • Schedule all follow up messages to guests after appointment
  • Ensure 100% guest satisfaction and identify ways to always improve and better the guest experience.
  • Focus on guest experience including retention and loyalty outreach cadence.

Operational Responsibilities:

  • Prompt arrival to open the store and review schedule each morning to familiarize yourself with guest appointments
  • Assist with daily tidying, sweeping, vacuuming, wiping down all surfaces to make the practice look perfect prior to the first guest’s arrival
  • Restock refreshments and snacks to ensure the best guest experience
  • Learn our practice management system to schedule, check in/check, and take payment for each guest.
  • Answer all phone calls and messages with our company greeting while intelligently speaking to The Brightwood, our services, products, and Practitioners
  • Close the practice by following all company operating protocols

Other

  • Participate in shadow sessions with the Practitioners to learn our curated menu of services
  • Learn our Practitioners backgrounds and be comfortable to credential them to guests via phone or in person.
  • Be a team player with a positive attitude, embracing our company’s core values
  • Learn and master all details of any program or marketing initiative
  • Commitment to the company’s medical emergency safety protocols to ensure we are always practicing safely for our team and guests.

Requirements:

  • Bachelors Degree or Esthetician License
  • Experience required (medical experience, spa, or hospitality service business)
  • Must be available to work weekends and some nights
  • Position will likely be part time with transition to full time hours
  • Personable with ability to follow protocols

  • Hourly pay for part time, salaried position for full time
