Job Title: Night Auditor

Job Grade/Classification: Non-Exempt

Reporting Structure:  This position reports directly to the Hotel Owners
Job Summary:
This position is primarily responsible for ensuring the timely and accurate tracking and assessment of guest room revenue, occupancy percentages and other hotel operational statistics. The incumbent is primarily responsible for evening/nighttime guest relations, also ensuring the accurate and timely posting of room charges and other guest transactions are completed for the current date. The incumbent is expected to timely and accurately provide an audited summary of accounting for the daily cash, check, credit card and other transactions of incoming revenue. The incumbent works with the Finance and Purchasing Accountant to ensure accurate and timely accounting of financial records, and contributes consistent analysis to the leadership in providing financial strategies based on financial performance.

Responsibilities, Duties & Accountabilities:

The core, critical and essential work duties, functions and responsibilities of the position are as follows:
  • Greets guests and processes check-in/check-out functions in a professional manner, ensuring exceptional customer service
  • Ensuring all guest room charges and taxes are accurately and timely posted to guest accounts and billing statements are prepared and timely delivered
  • Uses the required systems and processes to ensure all guest charges vouchers/credit card vouchers are accurate and timely processed
  • Audits daytime postings to ensure guest charges are accurate and complete
  • Transfers charges and deposits to Master Accounts
  • Audits for charges against correlating departments
  • Verifies transactions performed for the current date are supported by documentation and authorized signatures as required, correctly posted and allocated into the PMS System
  • Prepares reservations for the following day’s business
  • Verifies all account postings and balances
  • Verifies room rates are correct and posts accurate rates to guest accounts
  • Audits the current status of coupon, discount and other promotional programs
  • Tracks room revenues, occupancy percentages and other operational statistics, preparing routine reports and other operational summaries to leadership and upon request
  • Prepares timely and accurately summary of accounting for the daily cash, check, credit card activities and other transactions of incoming revenue
  • Audits financial data, postings, and other support documents for accuracy, bringing any concerns or discrepancies to the attention of leadership
  • Prepares End of Day Procedures, Follows the End of Day/Night Audit Checklist
  • Primary responsible for the night emergency procedures, ensuring guests, employees, vendors and others safety
  • Primarily responsible for guest requests, complaints and concerns, bringing to the attention of leadership, ensuring appropriate reports are documented
  • Ensures Wake-up Call process/system for guests
  • Other projects and duties as assigned
  • Regular and routine attendance and punctuality is required
  • Availability and willingness to work evenings, week-ends and holidays
Travel Requirements if Applicable:
  • As needed and assigned
Position Requirements and Qualifications:
  • Associate Degree in Finance, Accounting or other Business-related field of study 
  • Minimum 3-5 years working as a book-keeper, accountant, or in another business-related field
  • Demonstrated above-average knowledge of accounting principles, particularly as they apply to hotel or other service-related operations
  • Demonstrated computer skills, preferably working with Microsoft Office products, Hotel Systems and programs and the ability to successfully navigate and maintain current knowledge and skills working with technology. 
  • Demonstrated customer service experience working with the general public
  • Demonstrated ability to establish and maintain effective work relationships with other employees, exercising tact and professionalism in all matters
  • Excellent oral and written communication skills
  • Ability to maintain confidentiality and use discretion in dealing with sensitive information, exercising considerable discretion and good judgment, demonstrated conscientious and dependable
  • The following physical demands are requirements and must be met in order for the successful performance of the job position: This position requires the incumbent to speak, hear, see, stand for long periods of time, walk frequently and use full reach and range of motion in arms, hands and fingers, with continual use of manual dexterity and gross motor skills with frequent use of bi-manual dexterity and fine motor skills, to bend, stoop, kneel and lift (floor to waist – up to 25 lbs., waist to shoulders – up to 20lbs.), carry, push, pull and frequently climb stairs
