JOB DESCRIPTION

INDIVIDUAL and FINANCIAL SERVICES REPRESENTATIVE

JOB SUMMARY:

The Individual Financial Services Representative maintains all payables and billing issues for the individuals served as Representative Payee by The Arc of Southwest Georgia. Responsible for all individuals’ financial activities and cooperates with the Residential Department, Project Arc Department, Case Mangers, and Accounting on such matters.

Non-Exempt Position.

DUTIES AND RESPONSIBILITIES

Documenting financial transaction details and monitoring the transactions

Preparing and filing financial documents

Processing accounts payable and accounts receivable

Fact-checking accounting data

Reconciling company and/or individual accounts

Working with staff accountants as needed

Responsible for supervising individual financial service department and account representatives.

Monitors individuals’ financial activities and cooperates with the Residential Department, Project Arc Department, Case Mangers, and Accounting on such matters.

Utilizes RPM to monitor individuals’ check register current with the appropriate bank statement each month.

Utilizes Truelink system to maintain individuals debit cards. 

Assists account representatives with preparing reports for auditors or Directors as necessary.

Maintains an electronic financial system and keeps information up to date (for participant finances). Ensures the electronic banking system sites and the individuals’ checkbook registers are reconciled monthly, or more frequently as required. 

Assists individuals with budgeting funds and provides counsel when necessary.

Provide authorized representatives or family members with financial statements as requested.

Ensures that individuals stay within allowable balance to satisfy Social Security and Medicaid rules.

Completes Representative Payee report.

Assists individuals in locating other financial resources as needed (negotiates with vendors or finds outside agencies who will provide financial assistance as applicable).

Attends annual meetings to conduct a financial assessment and assists in developing goals as requested.

Purges files and maintains records in accordance with Medicaid, DBHDD and Social Security regulations.

Maintains a filing system for participant finances.

Assists with the development of internal policies and procedures relating to individuals’ finances.

Contacts outside agencies in reference to individuals’ finances (Social Security, Medicaid Representative, DFCS, Insurance Agencies, etc.).

Promotes and protects individuals’ rights, especially the right to freely make and express preferences in choices regarding their daily living and care, as long as such rights/choices are not detrimental to individuals’ well-being.

Other duties as assigned.

QUALIFICATIONS:

Minimum of an Associate's degree in accounting or related experience.

Developing technical knowledge regarding specific responsibilities.

Strong interpersonal and relationship-building skills.

Team player with a positive – ‘can do’ approach.

Strong verbal and written communication skills.

Strong technology skills including Microsoft Word, Microsoft Excel, QuickBooks, and accounting software as well as standard office equipment.

OTHER KNOWLEDGE AND ABILITIES:

He/she must be friendly, and caring, and have good communication and organizational skills in order to prioritize duties and meet deadlines as they arise. Also have a working knowledge of Social Security Rules, Regulations, and Laws. He/she must be knowledgeable of other data collection systems as necessary. He/she must have a working knowledge of The Arc of Southwest Georgia’s Mission and Vision as well as the agency’s programs and services. He/she must have a knowledge and understanding of the agency’s accreditation process and its value to the organization.

TYPICAL WORKING CONDITIONS:

When required to work in the office, the environment will be that of a typical office atmosphere. Frequent travel is expected as part of this job qualification. Must travel outside the office when needed or assigned to assist individuals with budgeting or finances. The Financial Office must remain open during regular business hours except under special circumstances.

JOB RELATIONSHIPS:

He/She will be supervised by the Housing and Individual Finance Manager.
