MIT — Most Important Thing:

To ensure the accuracy of the financial statements, interpret the results, communicate the financial results (we call it “telling the story”) in a manner that management and non-accountants can understand, and suggest business improvements that help achieve the clients’ goals. The Controller is the Client Lead and Project Manager for the client engagement to help manage the teams. 

KPI’s — Key Performance Indicators:

• A minimum of 32 billable hours per week (1600 per year) o A minimum of 40 hours worked per week
• Client Retention of greater than 85%
• Employee Retention of greater than 85%
• All client engagements must be managed to a Gross Profit margin of 50% or better
• Planned hours must be within /- 10% of the actual hours
• Original Project Plans for client engagements are submitted on or before the 25th each month
• Timesheets are entered daily
• On-time attendance at all mandatory company meetings
• 15Five review and submission completed weekly
• More than 90% of Financial Statement Delivery on or before the 15th
• 70% completion of requested NPS scores from clients twice per year within 3 weeks

Communication Outcome: Proactive story-telling internally and externally so that expectations are consistent across the board.  

Ongoing Tasks

• Respond to client within 1 business day
• Communicate around progress towards deliverables to client
• Communicate project plans to teams and updates to project plans
• Fully understand the business owners' goals
• Delegate communication responsibility to team
• Coordinate with client advisors and professional service providers
• Oversee, direct, and coordinate training for TGG employees and internal client staff
• Coordinate collections issues from clients
• Be aware of opportunities for providing additional support for additional projects in excess of recurring work
• Board Preparation
• Handle Escalated collection / dispute issues
• Client relationship issues communicated to CFO

Weekly Tasks

• Leads the weekly team meeting so the client team can discuss all the important topics and discussion points
• Communicate around budget overages within client team, challenges within engagement, and barriers
• Attend and actively participate in weekly staffing meeting

Monthly Tasks

• Identify and develop KPIs relevant to story-telling
• Write an effective Executive Summary, Profitability Recommendation and Company Goals in the Financial Statement Package
• Control the Annual Business Calendar and delegate the updating if needed
• Direct the design and appearance of the Financial Statement Package in regards to charts and graphs
• Communicate project plan to team and client including subsequent updates to the plan
• Debrief on Month-End: after month-end close cycle is complete, reach out to team to understand projects / items that need to be addressed such as process improvements

Quarterly Tasks

• Get at least one review, testimonial, case study or referral from a client or Partner

Annual Tasks

• Tax and audit planning document coordination with CPA, Advisors, and client team
• Host at least one TGG Way Meeting or training

Management Outcome: Control of the client engagement. Effective management of client team to ensure everyone is preforming at their level and deadlines are being hit. Strong client relationship with 85% or greater client retention.

 Ongoing Tasks:

• Mentor and train their direct reports to feel prepared to step into the next role at TGG and grow in their accounting knowledge
• Coordinate and implement client 180-day client onboarding plan
• Review and interview candidates, screening for top talent and providing feedback to MDs / HR
• Sign off on process documents after created by Accounting Manager

Weekly Tasks:

• Weekly mentoring / coaching of direct reports during 1:1
• Organize weekly client team meetings
• Manage team and budget to actual on project plans
• Review weekly project plan deliverables
• Credit memo and time entry detail review

Monthly Tasks:

• Project plan submissions o Collect approvals from team
• Project plans to actual review
• Manage client expectations of bill
• Review of client team bill rate and make recommendation to CFO and MD
• Enforce "Fast-Close" procedures to ensure the work is leveled out across the board o Remove roadblocks for Accounting Managers and staff

Quarterly Tasks:

• Performance reviews of self and direct reports

Technical Outcome: Provide insight and decision-making tools that align with and support business owners’ goals

Monthly Tasks:

• Thoughtfully update Executive Summary
• Final approval of Accounting Manager’s adjusting Journal Entries
• Review and sign-off of month-end workbook
• Analysis of and commentary of updating KPIs in a forward-thinking way
• Updates Annual Business Calendar in financial statement package

Quarterly Tasks:

• Review Accounting Manager’s 941 Reconciliation to Income Statement
• Reforecast 4 quarters out
• Determine tasks between Controller, CFO, and AM on a quarterly basis such as:
• Preparation of reporting packages for board meeting
• Finance documentation coordination and support
• Sets meeting with CFO to review client KPIs to determine if they need to update
