Job Summary
The Reference & Outreach Assistant performs moderately complex (journey-level) library and archival work. They will provide public access to the Center’s collections and services through reference assistance, tours, oral presentations, and assisting with special events and outreach. In addition, the Reference & Outreach Assistant enforces security regulations and copies and scans materials. The assistant will work under limited supervision with moderate latitude for the use of initiative and independent judgment.

Essential Tasks
Provide information and reference assistance to patrons.
Coordinate tours and docent program and make oral presentations.
Assist with special events and outreach.
Enforce security regulations.
Perform copying and scanning of materials.
Attend work regularly in accordance with agency leave and attendance policies.
Comply with all applicable agency policies and procedures, including safety and standards of conduct.

Other Tasks
Assist with processing and describing archives and manuscript collections.
Assist with care and maintenance of collections and historic buildings.
Perform other duties as assigned

Minimum Qualifications
High school graduate or GED.
One year experience in a library or archive setting; or, 15 hours college coursework including at least one class in history.
Six months work experience using a personal computer in a work setting.
Experience in customer service or public contact setting.

Preferred Qualifications
Work or volunteer experience working in an archive or manuscripts repository.
Work or volunteer experience working in a genealogy collection.
Work or volunteer experience enforcing rules and regulations.
Experience using the Internet and online databases and indexes.
Experience with the Windows operating system and Microsoft Office Suite software, including Word, Excel, Outlook, and Access.
Experience using office equipment, including photocopiers, scanners, and microfilm readers.
Experience providing tours and/or making oral presentations to groups of varying sizes and ages.
Experience using FileMaker Pro.
College coursework in U.S. or Texas history or government.
Bilingual English-Spanish speaker.

Knowledge Skills and Abilities
Skill with standard office computer software
Ability to communicate effectively both orally and in writing.
Ability to move boxes weighing up to 40 pounds, kneel, lift, carry, push carts, climb stools or ladders, move between buildings on the Center’s campus, and sit or stand for extended periods of time.
Ability to perform independently and to exercise sound judgment.
Ability to perform detailed work in a public service area with many interruptions from patrons.

Environmental/Physical Conditions
Normal office work environment, with occasional outside environmental conditions during tours and special events. May have exposure to dust and environmental allergens consistent with normal business activities and human contact. Mostly sedentary in nature but will involve moving, including between buildings; standing; remaining stationary for long periods of time; pulling and pushing; kneeling, stooping, and bending; and safely moving items weighing up to 40 pounds. Regularly ascend/descend ladders and reach above shoulder level to access storage boxes. Work involves telephone usage and repetitive motions while operating the computer. Normal cognitive abilities including the ability to learn, recall, and apply certain practices and policies. Travel may be required to speak publicly and attend meetings/events. Must have visual acuity to drive. Position has frequent contact with external customers which requires a professional demeanor. Non-smoking work environment.

Other Requirements
Must submit college transcripts if applicable.
Must submit writing sample with application; sample should reflect professional business style and be no more than 500 words in length. A cover letter submitted with the application will be considered a writing sample.
Must pass in-basket and lifting exercise to be given during interview.
Must pass criminal history check if offered the position.
Must work scheduled Saturdays, approximately 2 Saturdays every 5-6 weeks, and occasional evening and overtime work.

Reporting Relationships
Reports to the Center Manager. No supervisory responsibility.
