We are seeking a talented and experience Studio Assistant to support our Public Sector / Education Team .

As a Studio Assistant , you will play a pivotal role in facilitating the growth and success of our studio by providing administrative support, assisting with project delivery, and contributing to a positive work environment.

Key Responsibilities :

  • Execute various administrative functions such as word processing, coordinating project-related activities, scanning documents, and maintaining record-keeping standards.
  • Support project communication by preparing meeting agendas, minutes, and other necessary documentation.
  • Assist with monthly billing review and invoice cycle, ensuring accuracy and timely follow-up on collections.
  • Maintain awareness of project schedules and manpower needs to effectively allocate studio talent / resources.
  • Assist in maintaining scheduling information and milestone calendars.
  • Possess knowledge of government agency processes and assist in preparing necessary forms and submissions for projects.
  • Issue addenda to contractors, track addenda process, and update bid logs as required.
  • Prepare transmittals for project submissions and maintain construction administration logs.
  • Assist in preparing pay applications and DSA forms as required.

Qualifications :

  • 5 years in an operational, analyst, or administrative support role in a professional services firm is required. Experience in architecture, engineering or construction is preferred.
  • Bachelor's degree in business administration, engineering management, construction management or a related field is preferred but not required.
  • Very comfortable learning and utilizing computer programs and software including project management systems and Microsoft Office.
  • Ability to review and analyze data, project information, and communications, and take steps needed to ensure project success.
  • Ability to multitask, follow instructions, and effectively prioritize and meet multiple deadlines while maintaining attention to detail and organization.

Compensation :

The expected annual salary for this role is $26 - $36 per hour (must be willing to work in-office 50% of each week). Actual pay will be determined based on license, experience, qualifications, geographic location, business needs, and other job-related factors permitted by law.
