Position: Clinical Research Assistant

Reporting Relationship: Clinical Research Manager / Assistant Clinical Research Manager

Effective Date: 2023

Position Summary

The hybrid clinical research photographer (position based in Nashville, TN) is primarily responsible for coordinating photography and diagnostic services and performing ophthalmic photography for diagnostic, documentation and educational purposes in the clinic. Photography and diagnostic services include but are not limited to all Fundus cameras (standard and SLO), OCT machines and the Heidelberg cameras at the main office and all satellite offices, as well as any special imaging equipment needed for clinical research studies. Day- to-day activities may include all or some of the essential functions listed below, depending upon individual experience / knowledge and the needs of the organization which are subject to change from time to time. The hybrid clinical research photographer is also responsible for imaging and recruiting research patients according to ICH-GCP guidelines, and according to the IRB-approved study protocol and/or manual of procedures. Day-to-day activities may include all or some of the essential functions listed below, depending upon individual experience / knowledge and the needs of the organization which are subject to change from time to time. The hybrid photographer is expected to perform all requirements of the clinical photographer position in addition to the research photographer position.

Essential Functions

  • Knowledge and experience in ophthalmology and terminology
  • Must have a working knowledge of the electronic health system as well as all forms used within the clinic and study departments.
  • Create patient photo records and maintain a cross-referenced diagnosis/patient database.
  • Helps maintain the Forum Database to keep records accurate and up to date.
  • Performs clinical ophthalmic photography and diagnostic imaging studies.
  • Must be able to consistently and accurately perform montage photos on all cameras.
  • Conducts photographic studies and collaborates on photographic services for clinical research.
  • Maintains certification to meet criteria for clinical research studies.
  • Responsible for maintaining a working knowledge of each study protocol as it relates to obtaining and sending study images per reading center protocols.
  • Responsible for care, cleaning and maintenance of all cameras and OCT machines.
  • Responsible for maintaining inventory of all imaging supplies.
  • Must be able to train peers & techs on all imaging equipment.
  • Responsible for maintaining efficiency within the imaging department and clinic.
  • Performs venipuncture to collect blood samples per protocol and department SOP. Processes blood samples per the protocol and lab manual guidelines for each study.
  • Acquires imaging certifications for all clinical trials. Obtains new certifications within two weeks of request by research manager. Maintains certifications as required by reading center.
  • Reviews and comprehends all study protocols, e.g., study proceedings and timelines, inclusion and exclusion criteria, confidentiality, and privacy protections.
  • Screens subjects for eligibility using protocol specific inclusion and exclusion criteria, documenting each potential participant's eligibility accurately. Works with other members of the study team and clinical team to recruit eligible candidates to meet enrollment goals.
  • Collects study data as required by the protocol. Assures timely completion of exporting and uploading of images according to the reading center protocols. Must be attentive to imaging and data queries and resolve them within the requested time frame.
  • Creates source documents for data capture per study protocol and manual of procedures.
  • Attends teleconferences and Investigator Meetings as requested by research manager.

Job Skills, Education and Experience

  • Must be able to obtain high-quality retinal images per protocol with minimal queries.
  • Must be aware of both departments staffing needs when requesting PTO/discretionary time off.• Ability to perform venipuncture is required.
  • Knowledge and experience in either ophthalmology or coordinating clinical trials is required.
  • Must have excellent organizational skills to independently manage workflow.
  • Meticulous attention to detail is required.
  • Must be able to take self-motivate and take initiative.
  • Must be able to self-manage, prioritize quickly and multi-task.
  • Must have excellent communication skills; both personal and written.
  • Must have an excellent teamwork attitude.
  • Must demonstrate aptitude for developing new skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) is preferred.
  • Minimum 1-year experience in retina photography required.

Maintains strict confidentiality with regarding to protected health information (PHI) and understands and adheres to TNR’s HIPAA privacy and security policies and procedures.

Typical Physical Demands

Position requires prolonged sitting, some bending, stooping, and stretching. Good eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator, and other office equipment is required. Employee must have normal range of hearing and eyesight to record, prepare, and communicate appropriate reports.

Typical Working Conditions

Position functions within a normal office environment. Occasional evening or weekend work may be required in order to fulfill assigned duties as dictated by fluctuations in workload volumes and/or staffing vacancies. Position based in Nashville, TN.

Hybrid photographers must present a positive and professional image of the practice to patients. Must have a neat appearance and be friendly, courteous, patient and tactful with patients, patient families and with co-workers, managers and doctors. Must have special ability to communicate effectively and relate well with patients, physicians, office staff, vendors, and outside practice advisors. Must be able to work well under pressure. Must understand the need for discretion and confidentiality in matters relating to patients and their problems. Must be mentally alert and in good physical health.
