Responsibilities:
· Client Hospitality: As the front-line representative of our firm, you will be responsible for warmly welcoming and seating all clients who visit our office. We place the highest priority on client satisfaction, and you will ensure they receive a level of hospitality akin to the world-renowned service at a Ritz Carlton hotel.
· Attorney Support: Your role will also involve supporting our attorneys in their daily activities. This includes ensuring they have a seamless experience during client meetings by preparing the necessary documents and materials they require. You will also assist in providing lunch or refreshments as needed.
· Administrative Tasks: Alongside your receptionist duties, you will handle various administrative tasks, such as scanning and printing documents, as well as updating and maintaining client files in our CRM system. Your attention to detail and organizational skills will be crucial in this aspect of the role.
· Office Cleanliness: Maintaining a clean and orderly work environment is essential to us. You will be responsible for general office cleanliness, including washing dishes, tidying communal areas, and sanitizing conference rooms after each use.
· Supply Management: Weekly supply orders will be under your purview. You will ensure that the office is well-stocked with necessary materials and supplies to facilitate smooth operations.
Requirements:
Previous experience in a receptionist or customer service role is preferred.
· Exceptional interpersonal skills and the ability to provide a warm and professional welcome to clients.
· Strong organizational skills to manage administrative tasks efficiently.
· Detail-oriented and capable of multitasking in a high-pressure environment.
· Familiarity with office equipment, such as printers, scanners, and CRM software.
· Proactive attitude and a team player mentality.
· Ability to maintain confidentiality and handle sensitive client information with discretion.
· Flexibility to adapt to the dynamic needs of a high-volume estate planning law firm.
