Here's a summary of responsibilities:

The Payroll Administrator will support the Payroll department by accurately processing the bi-weekly payroll for our diverse workforce of over 550 employees. The Payroll Administrator will collect timekeeping information, process payroll, and support the Payroll Manager for various tax-related tasks. This position combines administrative duties, customer service, and collaboration with other departments to maintain efficient payroll operations. 

Here's how you'll have an impact:

  • Collect and summarize timekeeping information, ensure completeness and accuracy, and promptly address any missing approvals.
  • Process and close bi-weekly payrolls, including generating necessary pre and post-payroll reports.
  • Handle wire transfers if required to resolve bank-rejected employee payments efficiently.
  • Process newly hired employees on the payroll side, setting up PTO and Time Management in Ultipro.
  • Manage the processing of final pay, wires, state and government forms for employee terminations, adhering to relevant regulations.
  • Collaborate with the People & Culture department to ensure timely updates of employee changes in the payroll system.
  • Assist employees with inquiries related to payroll topics and resolve any issues promptly.
  • Contribute to developing payroll-related reports and communications to facilitate effective organizational communication.
  • Ensure accurate processing of month-end payroll reports, maintaining precision and attention to detail.
  • Manage incoming tax mail and electronic notifications to ensure UltiPro taxes are current.
  • Assist the Payroll Manager in handling new tax setups from State, County, City, School, etc., especially during payroll processing on short notice.
  • Ensure accurate tax processing during payroll to avoid post-payroll corrections, particularly for local taxes due to employee relocations.
  • Provide quick response and support to the Payroll Manager for urgent tax matters, considering the complexity of tax regulations across multiple states.
  • Support the Payroll manager in integrating tax setups into UltiPro and Payment Solutions, adapting to varying state requirements.
  • Support the Payroll Manager during quarter-end tax reconciliations and annual audits by retrieving necessary documents or data as required.
  • Keep Payroll Guides in the Payroll "Toolbox" up to date.

Here are the skills and experience you'll need to be effective:

  • High school diploma or equivalent
  • 2-3 years of experience in processing payroll within an HRMS, preferably UltiPro
  • Comprehensive understanding of payroll methods, procedures, and terminology
  • Proficiency in Microsoft Office applications, including Outlook, Word, and Excel.
  • Detail-oriented with exceptional accuracy in data entry.
  • Strong customer service skills with the ability to address employee inquiries effectively.
  • Excellent organizational abilities to manage multiple tasks efficiently, particularly in high-pressure situations.
  • Commitment to maintaining strict confidentiality of sensitive payroll information.
  • Effective verbal and written communication skills for clear and concise interaction.

  • Familiarity with Multi-State Taxation and Federal Tax regulations preferred
  • Experience with UltiPro

  •  This hybrid-based role will work regularly from our Downtown Colorado Springs Headquarters and remotely.

Here's some more information you need to know:

  • Hiring Pay Range: $24.97 to $29.34 per hour. 
  • This part-time, non-exempt position is intended to work 20 hours per week.
  • Bonus: This position will be eligible for the Annual Incentive Award Program at a 5% target. This program is subject to change or elimination by the USOPC at any time at its sole discretion.
