JOB FUNCTION: Under the general direction of the Program Services Manager or Office Manager, the Office Support Specialist carries out a wide range of tasks, related to the delivery of services to specific population groups, primarily low to moderate income persons.
Essential Duties and Responsibilities:
· Responsible for clerical duties which include, but are not limited to, answering the phone, copying customer information for applications, mailing, scheduling appointments, filing, tracking of applications, etc.
· Responsible for entry into and retrieval of data from the State Computer System and other Agency computers
· Ability to learn various different program rules and policies governing the various programs and/or services provided by the Agency
· Ability to navigate through the complexities of various program rules and assist customers through their application process for Agency provided services
· Take and complete applications for assistance for all agency programs and provides outreach, information, and referral services
· Delivery of assigned program services in accordance with Agency Vision, Mission, and Values and applicable program contracts, manuals, and guidelines
· Outreach – Provides information to the general public as part of the agency’s efforts to extend access to the energy assistance programs to all potentially eligible clients
· Counseling – Provide energy related counseling and self-help tips to low-income clients, referrals to other related programs such as housing assistance, weatherization assistance, job service, job training, and other program availability based on client’s needs
· Attends meetings/conferences either local, statewide, or nationwide as deemed necessary by the Executive Director
Perform such other functions as may be assigned
GENERAL KNOWLEDGE AND SKILLS: Basic knowledge of basic office procedures, ability to communicate effectively with persons of diverse socioeconomic backgrounds; ability to prepare written and oral reports, ability to keep accurate records, protection of customer personal identifiable information, strong organizational, communication, and computer skills, and the ability to create and maintain effective working relationships with co-workers, general public, and State officials. The ideal candidate will have the ability to handle large workloads, prioritize work, and multi-task efficiently.
QUALIFICATIONS: Must be proficient in Spanish and English; Possession of a high school diploma; a minimum of three years experience in clerical work or any equivalent combination of training and social service experience is preferred.
Possession of valid driver’s license and automobile for use in work.
