The Role
The Zone Manager plans, directs, coordinates, and manages all Home Delivery Operations activities in a designated zone and is responsible for overseeing the overall management of the contractual relationships with independent contractors who deliver the Times’ products. The Zone Manager ensures that the delivery center facility is a safe and clean environment. The Zone Manager ensures that the zone meets service goals measured as complaints per thousand deliveries. The Zone Manager oversees Field Managers and Assistants with prospecting, selecting, negotiating and orientation of all independent contractors. The Zone Manager ensures that all staffers receive proper training to be successful in a highly productive results orientated team environment. The Zone Manager oversees the success of achieving the zone’s expense budget and contribution to ensuring the company achieves its financial goals. Managers in this position exhibit solid interpersonal and problem-solving skills with staff, independent contractors, and customers. The Zone Manager position will lead their staff to conduct themselves with the highest levels of integrity, respect and urgency. The Zone Manager teaches the staff to strive to meet customer expectations by providing special requests (i.e.: tube installation, delivery placement, and excellent product condition). It is understood that Zone Managers or any member (s) of his/her staff may be assigned to multiple distribution centers to lead or assist with day-to-day business operations as business needs dictate. The Zone Manager must ensure that they and their staff are able to provide his/her own transportation, the appropriate vehicle insurance and a valid Driver’s license along with an acceptable MVR must be provided for business related driving tasks.
ESSENTIAL DUTIES:
- Oversees the management of prospecting and selection of independent contractors dedicated to providing service and circulation growth results within the contractual relationship.
- Ensures all staff exhibits an excellent understanding of and ability to comply with the terms and conditions of the Times independent contract in daily interaction with vendors, staffers and customers.
- Ensures FM’s can effectively negotiate the IC Agreement delivery fees and other related fees with prospective independent contractors to keep open delivery areas at acceptable levels.
- Ensures all administrative documentation, tracking, reporting and financial procedures pertaining to independent contractor fees and charges are accurately carried out.
- Oversees the management of Delivery List by ensuring accurate address and sequencing information along with regular maintenance is applied by staff.
- Actively contributes to the overall success of Zone operations by providing leadership in a team-centric environment.
- Interpret information and provide analysis to achieve improved delivery service accuracy.
- Hires, trains, supervises, and ensures timely performance reviews for Field Managers, Field Assistants, Product Coordinators and Delivery Center Assistants in the implementation of their daily responsibilities.
- Ensure that all the processes are in place and followed to guarantee that all deliveries are completed with a high level of customer service as measured by complaint per thousand goals.
- Ensures all staff is proficient at providing positive interaction with subscribers when resolving service issues or requests to maintain a high level of customer satisfaction.
- Partners with HR and other resources as needed for appropriate handling of staffer issues and policy interpretation.
- Ensures all staff exhibits an in-depth understanding of warehouse operations including product flow and ad zone integrity.
- Regularly conducts staffer meetings to communicate strategic and tactical plans and gather insightful feedback from staffers.
- Demonstrates effective communication with Field Distribution Manager, as well as senior company managers on issues and operational updates.
- Assure all staff is proficient with PC skills utilizing MS Office, email, electronic forms, scanning and archive retrieval. Require all staff to acquire a working knowledge of all Times internal systems (DTI, ICMS, reports, Delivery List, SBS, Burt, etc.).
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
- Strong interpersonal skills: ability to interact effectively with staffers, independent contractors and customers.
- Requires excellent verbal and written communication skills.
- In-depth knowledge of independent contractor concepts and Times vendor delivery contracts.
- Ability to teach and demonstrate advanced problem solving and decision-making skills, leading and teaching by example.
- Highly proficient PC skills utilizing MS Office, email, electronic forms, scanning and archive retrieval, as well as a working knowledge of all Times internal systems (DTI, ICMS, reports, Delivery List, , SBS, Burt, etc.).
- Ability to adapt and manage change to achieve positive results in a collaborative environment.
- Must have effective time management skills to lead the team to successful multi-tasking.
- Demonstrate advanced leadership skills with staffers and when dealing with independent contractors.
- Ability to help staff interpret and maintain a strong understanding of the Times contract with independent contractors for the purpose of communication, negotiations, compliance, and contract management.
- Competent in math, analytical skills and budgeting concepts and training staff in such.
- Ability to train staff in developing, updating, and providing a high level of service to customers utilizing electronic delivery list.
- Requires hands-on problem solving with staff and operational issues on a daily basis.
- Ability to show sound judgment in resolving problems which may require the application and enforcement of departmental policies and practices.
- Effective communications and interaction with other departments to achieve collaborative solutions.
WORKING CONDITIONS :
- Works irregular hours or hours outside of normal office hours including overnights and weekends.
- Plant/warehouse/delivery center environment with possible exposure to noise, dirt and/or heavy machinery or equipment and vehicles.
- Frequently outdoors or in warehouse environment, exposed to heat, cold, rain and wind.
- Requires driving within all Tampa Bay Times market boundaries as regular part of job.
- Delivery of newspapers requiring, assembly of product, loading of newspapers into a vehicle, and delivery of newspapers.
- Must be able to safely perform all physical requirements including:
- Walking, standing, sitting, reaching, stooping, twisting, and kneeling.
- Lifting newspaper bundles up to 40 lbs. and similar physical movements.
- Pushing and pulling 4-wheel newspaper carts exceeding 200 lbs.
