Job Description
The Director of External Relations, Strategy, and Operations will report to the Assistant Dean for Advancement and External Engagement within the Whitman School of Management. The candidate serves in a senior leadership role and is responsible for developing, implementing, and leading all operational processes and systems to optimize external strategy, fundraising, and relationship building efforts for the Advancement and External Engagement team at the Whitman School of Management. This individual will partner with senior leaders & staff and lead across all functions to drive collaboration, cross-functional clarity and alignment, and will manage all development processes to create a modern, high functioning and innovative advancement operation while serving as a strategic-thinker who translates big-picture external vision to implementable operational plans.
A seasoned and dynamic administrator, this person plays a significant role in the team’s success in meeting its overall strategy and goals through implementing and executing systems that will enable large scale fundraising campaigns and operations, as well as creating and maintaining processes that ensure the successful and effective implementation of the department’s annual, major gift, communications, and engagement plans.
Qualifications
  • Bachelor’s degree required, advanced degree preferred.
  • Eight (8) plus years of demonstrated experience in leading and managing advancement operations, strategic initiatives, and campaign planning and execution, preferably in a college or university setting.
  • Strong computer skills including proficiency in Microsoft applications and CRM systems.
  • Valid driver’s license required.
Job Specific Qualifications
  • Demonstrated excellence in directly supervising Development/Advancement Operations with a proven track record of success in leading strategic operational alignment of staff, policies, and processes.
  • Significant organizational and project-management skills. Experience directly project managing Advancement Operations process/systems implementation required.
  • Proficiency with office technology and information systems (including Google and Microsoft Office Suites) and donor databases (i.e. Blackbaud, Salesforce) and moves management tools.
  • A strategic thinker able to develop and successfully execute fundraising plans.
  • Exceptional organizational skills, ability to follow through and attention to details, manage multiple priorities.
  • Strong verbal and written skills.
  • Excel at building relationships internally and externally.
  • Must be donor and goal centric.
  • Ability to work collaboratively in a complex environment and work independently.
  • Demonstrated experience working in and fostering a diverse, equitable and inclusive environment.
Responsibilities
  • Leads and develops cross functional collaboration, initiatives and projects with associated team members and departments, including directing external strategy for and overseeing day-to-day operations inclusive of database management, donor relations, prospect research, gift processing, acknowledgements, and fundraising and engagement reporting and tracking.
  • Directs the day-to-day Advancement & External Engagement teams efforts to be efficient and coordinated with Advancement & External Affairs staff, Whitman School constituents and departments, and campus-wide partners in all components of internal tracking, reporting, and advancement operations. Initiates, builds, and manages dashboards and toolkits to support overall strategy and operations of the Whitman School fundraising program.
  • Oversees and manages recognition systems for the Whitman School, coordinates and tracks recognition inventory, and partners closely to ensure all endowment reporting, recognition, and offerings are aligned with university standards.
  • Leads the strategy and execution for supporting gift officers and the engagement team through designing and building collateral, gift proposals, reports and presentations, metric tracking, building emails and graphics, and recognition inventory.
  • Leads, designs, and executes a comprehensive annual giving program to the Whitman School, with a focus on integrating campaigns that solicit, retain, upgrade, and convert donors and prospective donors to being active supporters.
  • Initiates, directs and builds content which drives retention and growth annually, manages and leads Giving Day and participation campaigns, and executes year-round communications which educate and inspire donors to engage with and support the Whitman School.
  • Manages the identification, tracking, and building of a pipeline of leadership annual giving donors who have the capacity to increase and/or make larger gifts. Accurately and thoughtfully provide these leads to gift officers to support an effective and developing pipeline of major gift supporters from the annual fund.
  • In a leadership capacity, work closely with cross-functional teams and departments to ensure direct fundraising and digital optimization strategies encourage annual giving donor participation and are factored into the annual giving donor experience at the university.
  • Acts as a lead liaison to Central Advancement Teams, including Information Technology and Leadership Giving & Discovery to foster strong relationships across the University in the analysis and use of information technology and data to measure the effectiveness of programs and forecast engagement and giving trends.
  • Serves as a key strategist and leader to the Assistant Dean in campaign planning & execution, external education and communication, and aligning innovative operations to support and achieve ambitious team goals.
  • Represent the Assistant Dean in meetings as needed in their absence.
  • Develops strategic analytical models, reports, and dashboards that provide performance data and business intelligence to Whitman leadership.
  • Supervises, mentors and develops unit staff. Revises objectives, goals, and/or staff plans for achievement as needed.
  • Perform related duties as required or deemed appropriate to the accomplishments of the responsibilities and functions related to this position.
