Job Description
The Business Operations Specialist assists in establishing program fees for all programs and helps manage the related communication effectively. Working in conjunction with other Business Office teammates and Syracuse Abroad colleagues, this role serves as a primary point of contact for questions/inquiries related to billing and study abroad financial aid. As the interface between Syracuse Abroad and the university’s offices of financial aid and bursar, the position helps coordinate the accurate recording of fees/grants/adjustments on student’s bursar accounts. The Business Office Specialist helps manage partner communication related to billing, maintaining up to date partner school information for Syracuse Abroad including managing billing contacts. The role also serves as back up and additional support for accounts payable processing, helps reconcile expenses from Syracuse Abroad teams, and produces reports and analysis as needed.
Qualifications
  • Bachelor’s degree required.
  • Prior experience in customer service (including professional telephone/email/video conferencing communication) and basic accounting/finance is preferred.
  • Previous experience working at Syracuse University/higher education or in the international education field a plus.
Job Specific Qualifications
  • Ability to meet deadlines and handle a high volume of customer requests.
  • Excellent organizational skills and attention to detail.
  • Process oriented.
  • Ability to work independently and communicate effectively across multiple departments. Proficiency with Microsoft Word, Excel, Teams, Zoom, along with PeopleSoft, TDS, Outlook.
Responsibilities
  • Support preparation of financial aid planning budgets for all programs and preparation/sending of award reports for financial aid awarding. Coordinate plane ticket loan program. Help manage Syracuse Abroad Business Office email box. Work with the Assistant Director other relevant staff respond to inquiries in a timely manner.
  • Serve as back up in notifying visiting students and partner schools of awards. Reconcile awards from FAO to SUA records. Process consortium agreements. Guide visiting students through the process for having Syracuse University process their aid. Direct students in the process of adding SU to their FAFSA to be evaluated for need-based funding. Analyze current and prior year data to prepare reports. Support the Institutional Recruitment team as requested (prepare agreements, document enrollments, confirm and verify billing contacts/details, provide details on partner’s preferred programs/student demographics, etc.). Update agreements as requested by Assistant Director.
  • Assist with producing and providing billing reports to Bursar’s office. Produce invoices and collaborate with Bursar to ensure partner schools and visiting students are invoiced correctly and within deadlines. Review student accounts to clear for participation in the program, negotiate payment arrangements as needed and in conjunction with Bursar guidelines. Follow-up to clear payment delays or payment errors from partner schools or visiting students. Send billing confirmation to all students who will receive an invoice from SU. Update and maintain affiliated schools table for billing purposes. Process financial aid transfer forms and request deferments based upon these. Act as bursar representative advising students on SU’s monthly payment plan, financial aid transfer form, method of payments, and accessing their Syracuse University bursar account.
  • Assist in processing of accounts payable and receivable. Help reconcile expenses from Syracuse Abroad teams. Assist with administration related to WorkStudy students.
  • Other duties as assigned.
