Position Summary
The Warehouse Inventory Purchasing Specialist is responsible for managing and maintaining the inventory of supplies, equipment, and materials necessary to support the university's facility maintenance program. This role requires a detail-oriented individual with strong organizational and procurement skills to ensure that the university's maintenance teams have access to the necessary resources to operate efficiently.

Essential Duties and Responsibilities

  • Facility Maintenance Planning
    • Collaborate with the Director of Facilities Management to develop and implement a comprehensive facility maintenance plan that aligns with the university's strategic objectives.
  • Inventory Management
    • Maintain accurate records of inventory levels, including tracking stock levels, reorder points, and consumption rates.
    • Conduct regular physical inventory counts and reconcile any discrepancies.
    • Ensure the availability of essential supplies and materials for facility maintenance operations.
    • Implement inventory control measures to minimize waste and overstocking.
  • Purchasing
    • Collaborate with management and maintenance staff to identify procurement needs.
    • Source and purchase materials, tools, and equipment in accordance with university procurement policies.
    • Negotiate with suppliers to obtain competitive prices and favorable terms.
    • Maintain relationships with vendors and evaluate supplier performance.
  • Documentation and Reporting
    • Generate purchase orders and maintain accurate procurement documentation.
    • Prepare reports on inventory levels, purchasing trends, and cost analyses.
    • Monitor and analyze supplier invoices and resolve discrepancies.
  • Vendor Management
    • Evaluate and select new vendors based on cost, quality, and reliability.
    • Develop and maintain a database of approved vendors.
    • Ensure compliance with university procurement guidelines and regulations.
  • Budget Management
    • Assist in the preparation and management of the department's budget related to inventory and purchasing.
    • Monitor spending and work to optimize cost-efficiency.
  • Safety and Compliance
    • Adhere to safety protocols and regulations when handling and storing materials.
    • Ensure compliance with university and government regulations related to procurement and inventory management.
  • Team Collaboration
    • Collaborate with facility maintenance teams to understand their inventory needs.
    • Provide support and guidance to colleagues regarding inventory and procurement matters.

Knowledge, Skills, and Abilities

  • Strong knowledge of procurement practices, vendor management, and contract negotiation.
  • Proficiency in using inventory management software and MS Office applications.
  • Excellent communication, negotiation, and problem-solving skills.
  • Detail-oriented with strong organizational skills.
  • Ability to work independently and as part of a team.
  • Familiarity with safety regulations and inventory control best practices.

Education & Experience

  • Bachelor's degree in supply chain management, business administration, or a related field preferred.
  • Proven experience in inventory management and purchasing, preferably in a university or similar institutional setting.
