Job Description

These services include but are not limited to real estate, project and construction management, facility management, mission-critical services and operations, and general contracting.

Their headquarters are located within the Mid-Atlantic Region with offices in Northern Virginia and Richmond. They have overseen more than 100 million square feet of new construction and renovation projects for commercial offices, established institutions, and mission-critical facilities.Position Summary
The Facilities Coordinator is responsible for planning and coordinating the logistics to support the facilities building, landscaping, and grounds maintenance and services on the university campus. This role requires excellent communication skills and the ability to work in a very active environment.
The Facilities Coordinator will manage the Computerized Maintenance Management System (CMMS) program, ensuring the efficient input and outflow of work orders. They will also engage in direct communication with skilled labor and trades crew leaders, building and department managers, as well as interacting with university staff and students. In addition, the successful candidate will be responsible for planning and scheduling all services and providing support to the Assistant Director of Facilities and their programs.
This job description is not intended to be all-inclusive. The coordinator may be required to perform other duties as assigned by the supervisor or management.

Essential Duties and Responsibilities

  • Manage the Computerized Maintenance Management System (CMMS) program, ensuring the timely input and outflow of work orders.
  • Communicate directly with skilled labor and trades crew leaders to coordinate work assignments and ensure efficient completion of tasks.
  • Maintain effective communication with building and department managers to understand their facility needs and address any issues or concerns.
  • Interact with staff and students to provide assistance and support regarding facility-related matters.
  • Plan and schedule all services related to building, landscaping, and grounds maintenance, considering priorities, available resources, and timelines.
  • Provide support to the Assistant Director of Facilities and their programs as needed.
  • Demonstrate excellent communication skills to effectively communicate with various stakeholders, including staff, faculty, students, and external vendors.
  • Manage conflicts and resolve issues in a proactive and professional manner.
  • Identify critical issues and refer them to immediate management for resolution.
  • Stay updated on industry best practices and technological advancements related to facilities management.
Knowledge, Skills, and Abilities
  • Strong knowledge and experience with Computerized Maintenance Management Systems (CMMS).
  • Excellent communication skills, both verbal and written, with the ability to effectively communicate with diverse stakeholders.
  • Ability to thrive in a fast-paced and dynamic environment, managing multiple priorities and deadlines.
  • Strong organizational and problem-solving skills with a keen attention to detail.
  • Demonstrated ability to work collaboratively with cross-functional teams and establish effective working relationships.
  • Proficient in using computer applications and software relevant to facilities management.
  • Ability to manage conflicts and resolve issues in a professional and diplomatic manner.
  • Knowledge of applicable health and safety regulations and guidelines.
Education & Experience
  • Bachelor's degree in a relevant field (preferred) or equivalent combination of education and experience.
  • This position requires a minimum of 5 years in a facilities coordination or management role within a university or educational system, as well as experience with CMMS.
