Summary:

Directs payroll process in multiple countries, including effectively leading a staff of multiple direct employees (as applicable). Oversees the processing of payroll, which includes entry of new hires and terminations for a 30K multijurisdictional employee base payroll, special payments, garnishments, deduction changes, timesheet data collected from Time and Labor system, and other miscellaneous payroll data. Initiates, coordinates, monitors, and perform multiple critical financial processes and applies internal controls to successfully complete the US and Canadian payroll on a bi-weekly payroll cycle and ensures all employee information and pay data is recorded timely and within 99% accuracy.

Essential Functions:

  • Leads the day to day US and Canadian payroll operations, including reviewing, approving, and processing employee data (new hires, changes, additional earnings, tax withholdings, garnishments, and benefit deductions) from the HR system of record to the payroll systems in each country.
  • Ensures employee earnings and deductions are within 99% accuracy and in compliance with tax and legal requirements and Company established guidelines.
  • Guides payroll staff operations and approves courses of action on salary administration, interviewing and selection, terminations, professional development, performance management and appraisals, job description preparation, and employee counseling.
  • Engages and advises staff on administrative policies and procedures, technical problems, priorities and methods.
  • Collaborates with cross-functional organizations like HR to streamline payroll changes and weekly information to improve payroll cycles and to reduce errors.
  • Troubleshoots issues and errors, directly interfacing with HR, IT, Finance, and employees as needed to ensure timely resolution.
  • Reviews and validates the Time and Attendance data extracted from the Time & Labor system to ensure hours processed for payroll balances to hours reported in payroll. Reviews and approves all unpaid time off and other related time reported adjustments (hours submitted late, corrections to hours reported, e.g., PTO vs. regular hours, etc.).
  • Reviews and validates employees’ state and local tax initial setup for accuracy and in compliance with state and local regulations. Monitors subsequent changes due to employee address changes/relocations.
  • Manages and enhances payroll processes, where necessary, to ensure accuracy of employee information that comes from the HRIS system for new hires and employee changes and ensures accuracy of updated changes in employee benefit options.
  • Assists with government audits and workers compensation audits as needed. Responds timely to all payroll related tax notices and other governmental communications.
  • Ensures all payroll-related documents are filed in compliance with requirements.
  • Supports the General Ledger Accounting team with payroll journal entries, reconciling payroll related balance sheet accounts as required within the Company’s established deadlines.
  • Routinely reviews and gauges the overall payroll team efficiency and pro-actively streamlines processes within the payroll team to reduce costs of payroll operations by developing, implementing, and maintaining workflows which reduce the need for exception (off-cycle) payroll manual payments.
  • Provides subject matter expertise to the Company’s internal customers, such as HR and Tax, in payroll tax law, compliance under FLSA, fringe benefits under the various country regulations, withholding and reporting rules for employer-provided benefits, state wage hour law, determination of taxable and nontaxable compensation, and federal and state laws governing employer responsibilities for unemployment taxation.
  • Ensures all internal controls over the payroll process and related cash disbursement are maintained.
  • Documents and maintains the payroll business day calendar and payroll work processes in the Company’s Payroll Service Desktop Procedures Manual.

Qualifications

Requirements:

  • 4 Year Degree
  • Significant payroll/HR/accounting experience with a large ERP system and payroll provider
  • Extensive experience in a payroll/HR organization, including managing payroll/finance staff and multinational payrolls.
  • High proficiency in Word, Excel, and other Microsoft Office Software, as well as, experience using ADP or similar payroll processing systems.
  • Consistent attention to detail and accuracy
  • Exceptional organizational, interpersonal and team building skills.
  • Demonstrated track record of leading teams to perform tasks simultaneously and meet deadlines in a fast paced environment.
