Job Title: HVAC CSR/Sales Coordinator

Job Overview: As an HVAC CSR/Sales Coordinator, you will play a pivotal role in ensuring seamless communication between customers and the sales team while providing exceptional customer service. You will direct incoming calls to the proper department while fielding all requests for proposals/estimates. You will work closely with Sales/Marketing Manager to ensure success. Your responsibilities will involve managing inquiries, scheduling appointments, and coordinating sales activities related to heating, ventilation, and air conditioning (HVAC) systems. You will serve as the primary point of contact for customers, addressing their needs, providing information, and facilitating sales transactions. Your role will be crucial in maintaining customer satisfaction and contributing to the overall success of the sales department.

Key Responsibilities:

  1. Customer Communication:

    • Act as the first point of contact for customers, responding to inquiries via phone, email, or in-person visits.
    • Provide information regarding HVAC products, services, pricing, and availability.
    • Address customer concerns, resolve issues, and ensure satisfaction with services provided.
  2. Appointment Scheduling:

    • Coordinate appointments for sales consultations, installations, maintenance, and repairs.
    • Efficiently manage schedules to optimize technician and sales representative availability.
    • Confirm appointments with customers and provide relevant details regarding service visits.
  3. Sales Support:

    • Assist sales representatives with preparing quotes, proposals, and sales contracts.
    • Follow up with potential leads to gather feedback, answer questions, and facilitate the sales process.
    • Maintain accurate records of sales interactions, transactions, and customer information in CRM software.
  4. Administrative Duties:

    • Perform general administrative tasks such as data entry, filing, and maintaining documentation.
    • Assist in inventory management by tracking stock levels, ordering supplies, and coordinating deliveries.
    • Generate reports on sales activities, performance metrics, and customer feedback as required.
  5. Collaboration:

    • Collaborate closely with the sales team, technicians, and other departments to ensure seamless coordination of activities.
    • Communicate effectively with internal stakeholders to relay customer feedback, service updates, and sales opportunities.

Qualifications:

  • High school diploma or equivalent; additional certification or training in customer service or sales is preferred.
  • Proven experience in a customer service or sales support role, preferably in the HVAC industry.
  • Strong communication skills, both verbal and written, with the ability to effectively engage with customers and team members.
  • Excellent organizational skills and attention to detail to manage appointments, documentation, and administrative tasks.
  • Proficiency in computer applications such as CRM software, Microsoft Office Suite, and scheduling tools.
  • Ability to multitask, prioritize workload, and adapt to changing priorities in a fast-paced environment.
  • Knowledge of HVAC systems, terminology, and industry practices is a plus.
