Sutton Landscaping LLC is Hiring an Executive Assistant and Operations Logistics Coordinator Near Lynchburg, VA

Position Overview:

We are seeking a highly organized and proactive Executive Assistant and Operations Logistics Coordinator to join our team. Reporting directly to the President, this role will play a crucial part in supporting executive-level tasks and projects while efficiently managing the operational logistics of our business. The ideal candidate will thrive in a fast-paced environment, possess exceptional communication skills, and demonstrate strong leadership, administrative, and technology skills.

Key Responsibilities:

  • Assist the President with various executive-level tasks and projects, including but not limited to scheduling, correspondence, research, and financial budget projects and planning.
  • Manage the President's company and personal calendar, scheduling appointments, meetings, and events as required.
  • Create meeting agendas and take detailed notes during meetings, ensuring all discussions and decisions are well-documented and communicated.
  • Keep track of time during meetings to ensure all agenda items are covered efficiently.
  • Coordinate closely with the Operations Manager and Shop Manager to facilitate crew scheduling, material orders, and other operational duties.
  • Manage company-wide communication channels, including newsletters, website updates, and social media platforms.
  • Support marketing logistics, including coordinating promotional events, preparing marketing materials, and managing advertising campaigns.
  • Serve as the main point of contact for scheduling and day-to-day logistics for crew leaders, ensuring efficient coordination and communication.
  • Act as a liaison between the Operations Manager and all crew leaders, conveying important information and ensuring alignment on operational objectives.
  • Collaborate with the Shop Manager to maintain proper inventory levels and ensure all necessary materials are stocked and organized.
  • Organize job folders and files, ensuring all documentation is up-to-date and easily accessible.
  • Coordinate the procurement of additional job materials and items not inventoried, ensuring all aspects of a job are prepared prior to installation.
  • Provide administrative support to the President and executive team as needed, including managing the President's assets and assisting with personal tasks.
  • Demonstrate strong leadership skills to effectively coordinate and motivate team members.
  • Communicate effectively across all levels of the organization, fostering collaboration and ensuring alignment on objectives.
  • Utilize administrative skills to prioritize tasks, meet deadlines, and maintain accurate records.
  • Leverage technology skills to efficiently manage schedules, communications, and data.

Qualifications:

  • Bachelor's degree preferred, or equivalent combination of education and experience.
  • Proven experience in an administrative or operations role, preferably in a fast-paced environment.
  • Strong organizational skills with the ability to prioritize tasks and meet deadlines effectively.
  • Excellent communication and interpersonal skills, with the ability to collaborate across all levels of the organization.
  • Proficiency in Google Suite and other relevant software applications.
  • Ability to adapt quickly to changing priorities and handle multiple tasks simultaneously.
  • Detail-oriented mindset with a proactive approach to problem-solving.
  • Knowledge of landscaping or construction industry operations is a plus.
