Job Description: Administrator/Business Manager

Position Summary:
The Ambulatory Surgery Center seeks an Administrator/Business Manager to oversee the daily operations of the facility, encompassing fiscal, contract, business, facility, staff, and clinical management. Working closely with the Medical Director, the Administrator is responsible for achieving operational objectives and ensuring compliance with regulatory standards. This role involves establishing policies, managing personnel, executing budgets, and serving as a liaison between staff and the Governing Board.

Minimum Requirements:

  • Bachelor's degree in Business, Nursing, Health Care Administration, or related field, or equivalent experience.
  • At least three (3) years of demonstrated experience in ambulatory surgery center administration/management.
  • Proficient in MS Office, QuickBooks, email, and Practice management software.
  • Eligible to work in the United States.

Skills/Knowledge/Abilities:

  • Client-oriented with strong interpersonal skills.
  • Proficient in problem-solving and critical thinking.
  • Knowledgeable in medical office procedures, procedural coding, insurance operating procedures, and managed care contracts.
  • Ability to maintain confidentiality.
  • Ability to prioritize and organize in a busy office environment.
  • Willingness to work overtime and travel if required.

Essential Competencies/Performance Expectations:

Fiscal Management:

  • Produces analysis and reports on budget variances.
  • Ensures financial objectives are met and strives to stay within budgeted guidelines.
  • Oversees business office functions including coding, claims processing, accounts receivable, and accounts payable.
  • Identifies opportunities for revenue increase and expense decrease.

Contract Management:

  • Executes contracts effectively to ensure service provision.
  • Reviews contracts annually for financial viability.
  • Administers third-party claims under managed care contracts and ensures compliance.
  • Educates staff on contract obligations.

Business Management:

  • Develops business office objectives, staffing patterns, and workloads.
  • Collaborates with Clinical Director and medical staff for goal-directed performance.
  • Establishes credit and collections policies and resolves payment issues.
  • Implements system enhancements for efficient operations.

Clinical Management:

  • Develops clinical objectives and ensures compliance with licenses and accreditations.
  • Participates in quality assessment and performance improvement activities.
  • Plans, implements, and evaluates improvements in care delivery and employee satisfaction.

Facility Management:

  • Participates in policy and procedure planning.
  • Identifies improvement opportunities and implements solutions.
  • Communicates effectively with department managers and disseminates relevant information.
  • Works in harmony with others and meets deadlines consistently.

Staff Development:

  • Demonstrates competence in staff selection and provides clear job descriptions.
  • Provides orientation and ongoing training to staff.
  • Delegates tasks appropriately and encourages staff participation in decision-making.
  • Facilitates conflict resolution and encourages teamwork and job ownership.

Professional Development/Facility Promotion:

  • Develops contacts to promote the facility's benefits to payors, patients, and physicians.
  • Maintains professional relationships within the community and other organizations.
  • Responds timely to client complaints and resolves issues effectively.

Communication:

  • Listens respectfully, provides direct feedback, and clarifies differences.
  • Utilizes appropriate services for effective communication.
  • Interacts effectively with patients and diverse internal and external clients.

Quality:

  • Demonstrates willingness to adapt to change and participate in quality improvement initiatives.
  • Identifies and reports suspected abuse per protocol.

This role requires a dynamic individual with a blend of administrative, managerial, and interpersonal skills to ensure the smooth and efficient operation of the Ambulatory Surgery Center.

Growth Opportunities and Payor Mix Development:

  • Proactively seeks growth opportunities with surgeons to expand the center's services and patient base.
  • Identifies potential partnerships or collaborations with surgeons to enhance surgical offerings and attract new patients.
  • Analyzes the insurance payor mix and identifies strategies to optimize reimbursement rates and increase revenue.
  • Collaborates with insurance providers to negotiate favorable contracts and expand the center's network.
  • Stays updated on industry trends and changes in healthcare regulations to capitalize on new growth opportunities.
  • Develops marketing strategies to promote the center's services to both surgeons and potential patients, leveraging the strengths of the facility and its medical staff.
