Human Resources Specialist – Leave Management, Workers' Compensation, and Benefits

Job Summary:

The Human Resources Specialist – Leave Management, Workers' Compensation, Specialist and Benefits will oversee and administer leave requests and accommodations requiring specialized attention, particularly those arising under the Family and Medical Leave Act (FMLA) and California Family Rights Act (CFRA), and the Americans with Disabilities Act (ADA) and Fair Employment and Housing Act (FEHA), state and local leave laws, and short-term or long-term disability plans. This role will also be responsible for Workers’ Compensation and facilitating this process for employee. In addition, this position will also be responsible to manage the Company’s employee benefit program.

Essential Functions:

Leave Management

  • Communicates with employees regarding their needs for leave and/or modified work schedules. Ensures that employees are aware of their responsibilities and of any documentation and notice required to qualify for and to take leave
  • Handles the FMLA/CFRA leave administration process from the employees initial notice of the need for leave to the return to work. This includes gathering and completing all required paperwork, determining leave eligibility, designating leave as FMLA-qualifying, requesting medical certification as needed, and accounting for intermittent and reduced schedule leave use
  • Maintains reasonable communication with employees on leave to facilitate smooth and timely return to work; relays communication between employees and their managers during leave within reason
  • Advises managers and employees on the interaction of leave laws with paid time off, workers compensation, and short-term and long-term disability benefits
  • Oversees the return-to-work process for employees returning from FMLA/CFRA, workers compensation, or other leave(s)
  • Facilitates other leave requests, which may include accommodation requests under the ADA/FEHA
  • Drafts and/or recommends revisions to company leave policies to ensure compliance with federal, state, and local laws and regulations
  • Maintains complete and accurate records of leave and accommodation requests in accordance with specified legal requirements and documentation of best practices

Workers’ Compensation

  • Facilitates the Workers' Compensation process for employee who are injured while at work
  • Communicates with outside providers, including Worker’s Compensation Insurance company and health care clinics; may also research other outside providers to ensure we are cost effective and have reliable providers
  • Records all Workers’ Compensation injuries, produces OSHA 300A logs, facilitates necessary postings are up-to-date at all locations, as appropriate, and abides by record keeping protocols
  • Visits sites to investigate potential safety and health issues and they arise from Workers’ Compensation claims, provide updates on necessary training, as determined by the investigation and communicates findings to managers, as necessary

Benefits

  • Ensures employees know what benefits are offered by the company, and assist employees with the enrollment process, as needed
  • Answers any questions employees have about their benefits and informs employees about any changes to the benefits structure
  • Communicates with broker and providers to ensure the file feeds are working correctly and system issues are investigated and resolved, including running discrepancy reports and reconciliation
  • Ensures the company's benefits and leave-of-absence policies comply with the law
  • Keeping up-to-date records of each employee's benefits profile
  • Assists with managing Benefit programs

Other

  • Maintains knowledge of all applicable laws including state and local laws
  • Preserves confidentiality of employee medical documentation and files
  • Maintain satisfactory attendance
  • Performs other related duties as assigned

Supervisory Responsibilities

  • This role has no direct reports but may provide guidance/training to less experienced HR staff

Qualifications:

Minimum Qualifications:

  • 2 years Human Resources or administrative experience
  • Knowledge of all federal, state and local regulations and compliance requirements related to employee compensation and incentive compensation programs, company policies, and operations
  • Knowledge of labor and employment laws at a basic level
  • Experience with HRIS systems and/or HR databases
  • Proven ability to build relationships with all levels of the organization
  • Strong organizational, communication, and problem-solving skills
  • Ability to maintain confidentiality
  • Excellent interpersonal and customer service skills
  • Ability to multi-task and manage time effectively
  • Proficient in Microsoft Office Suite or similar software

Preferred Qualifications:

  • Extensive knowledge of the leave requirements and other legal protections afforded by the FMLA/CFRA, ADA/FEHA, and other applicable laws
  • In-depth understanding of FMLA regulations, including its amendments and updates
  • Familiarity with state-level FMLA or leave laws
  • Experience supporting employee with workers’ compensation claims
  • Experience working in benefit administration
  • Experience working with HRIS and leave management software
  • Strong understanding of HR best practices and compliance requirements
  • SHRM-CP or PHR certification is preferred, but not required
  • Strong knowledge of employment laws and regulations related to leave management
  • Ability to maintain confidentiality and handle sensitive information with integrity
  • Excellent interpersonal skills with the ability to build positive relationships with employees

Physical Demands:

  • Prolonged periods sitting at a desk and working on a computer
  • Must be able to lift up to 15 pounds at times
