TEMPORARY 3 MONTHS Communications Coordinator

JOB DESCRIPTION
DUTIES AND RESPONSIBILITIES (Performed at least 80% of the time. Employee is required to follow any
other instructions and perform any other duties as requested by supervisor)
1. Oversee the compilation, entry and presentation of the data for the monthly community magazine.
Type articles and produce draft to magazine committee. Make corrections and produce final layout.
2. Prepare photographs for magazine.
3. Monitor advertising for the monthly magazine.
4. Coordinate Community Directory with directory chairperson.
5. Serve as staff liaison to assigned committees.
6. Prepare Association print media.
7. Responsible for keeping marketing team aware of ads currently being run and what is coming out.
8. Work with marketing team to promote SCOV, The Views Golf Club and The Views Restaurant.
9. Perform other duties as may be assigned by the Assistant General Manager.
10. Production and design of monthly magazine the Tipster
a. Design and production of monthly magazine
b. Meet with volunteer resident Committee Tipster Editors monthly for corrections and review
content issues
c. Advertising
i. Meeting with new advertisers
ii. Design advertising
iii. Design annual rate cards for the magazine for placement online and to be distributed by staff
when potential advertisers visit in person
iv. Receive camera ready ads and make sure they will reproduce in magazine
v. Maintain current list of advertisers for each publication work with administration staff for
timely billing of all advertisers
d. Provide printer with PDF for printing of the magazine (must be well versed in printing)
e. Place magazine online using Issuu software for magazine page flipping format
11. IDENTITY MANUAL – Oversee and be the contact point for compliance. Coordinate when needed with
the Assistant General Manager, the Board approved authority.
12. SIGNAGE – Manage SCOV signage on conform to Identity Manual

a. Marketing Plan – Oversee, conduct meetings, report on goals
b. Contribute promotional ideas
c. Research possible advertising venues
d. Design and create advertising for HOA, golf, restaurant
e. Manage deadlines of multiple advertising each month
f. Provide Marketing Team with ad proof sheets for tracking specific promotions
g. Must be able to create digital advertising as well as print
h. Provide signage for the SCOV grounds that are consistent with Identity Manual
i. Provide art for promotional items such as magnets, pens, calendars, etc.
j. Create menus for restaurant, including weekly Happy Hours
k. Create special advertising for events at The Views Restaurant, golf course and HOA
l. Provide special signage as needed
m. Create brochures as needed
14. Administration responsibilities
a. Provide print materials for elections, special mailings
b. Provide step by step informational flyers for “how tos” such as how to use the website to
accessing the Tipster magazine form.
c. Set up class room materials for annual classes on how to submit articles and photos
d. Revising forms
e. Monitor stationery usage and provide/order new supply when low
f. Create visitor information booklet and numerous collateral pieces for visiting potential
residents
g. Create golf passes, golf rate cards, exercise passes, guest cards, FIVE to FREE, etc.
h. Create business cards for staff and emergency contact cards, and other cards as necessary.
15. Maintain Purchasing Records
a. Research best bid – secure written estimates
b. Write requisitions and secure proper signatures PRIOR to purchase
c. File purchase copies – bid and requisitions for future reference
d. Maintain records of Tipster published, both hard copy and electronic files
EQUIPMENT, MACHINES, TOOLS USED Office related equipment - telephone systems, copier, computers,
scanner, calculators.
MINIMUM QUALIFICATIONS PREFERRED
1. Technical 2 years’ experience with graphic design for print media or 1 year college-level
graphic design coursework 1 year graphic design work experience.
2. Experience Minimum of 1 year's practical experience in an administrative environment.
3. Other Positive personality/attitude is essential, must be tactful, patient and project a
caring/helping image. Must be able to work under stress and communicate pleasantly and effectively.
Type 50 WPM, proficient with Adobe InDesign, Adobe Illustrator, Adobe Photoshop, Microsoft Word,
Excel, PowerPoint, WordPress. Must have a strong background in publishing with copy writing and
photography skills. Ability to work in a non-linear manner, managing multiple projects at once.
Must be conscientious of deadlines and be able to be a self-starter regarding work scheduling.
