Reports to: Sales Manager

Pay: $24 - $26 per hour

Summary:

This position is responsible for administration of key sales systems, processes and to provide sales support to the field sales team. The Scale House Sales Administrator must work closely with the Sales Manager, Outside Sales Representatives, and managers to determine customer requirements, availability of products, and evaluate costs and pricing. Candidate must resolve customer issues relating to materials and pricing to ensure customer satisfaction and deliver high quality products.

Essential Duties and Responsibilities:

  • Maintain and update customer database.
  • Contact small volume customers to ensure proper sales coverage and increase service levels.
  • Prepare customer quotations.
  • Enter jobs/quotes in CRM, Apex, Backlog, S&OP and communicate details to scale house, sales team, trucking, and operations.
  • Work with customers to gather all necessary documents needed before projects start: tax exempts, submittals, W9 s and credit applications.
  • Ensure submittal packages have all the supporting documentation and proper approvals prior to projects start.
  • Assist customers with inquiries in regards to billing, price quotes, invoices, online payments, volume estimates, general product recommendations, and gradation reports.
  • Daily ticket edits to minimize quote and invoicing errors.
  • Ongoing maintenance of job order status: updates and closeout.
  • Receivables – Research detailed or old customer billing/pricing issues. Follow up to ensure issues are resolved.
  • Prepare various monthly reports for sales team detailing the following: total volume, top customers, top sales products, ASP, revenue, and variance to budget for all items.
  • Perform month end reports.
  • Provide administrative assistance to the sales team.
  • Support the scale house as an Attendant.
  • Other duties as assigned.

Qualifications and Skills

  • Bachelor s degree in marketing, business or equivalent work experience is required.
  • Proficient in MS Office Suite, JWS, Viewpoint, Catavolt, and other software packages.
  • Ability to work effectively as a team and self-motivate when working individually.
  • Ability to prioritize multiple tasks.
  • Ability to maintain a positive and optimistic attitude, driving for customer-focused results.
  • Ability to work well in high-pressure, time-sensitive environment.
  • Produce high quality work that is detail-oriented, thorough, and accurate.
  • Ability to communicate effectively, both verbal and written.
  • Maintain customer confidentiality and follow company integrity guidelines.

Preferred Qualifications:

  • Experience with Customer Relationship Management systems (Ex. Salesforce, Dynamics, etc.).
  • Experience/Knowledge selling to contractors, general contractors, engineers, municipalities, and homeowners.
  • 5-10 years inside sales experience in the aggregate industry.

Additional Requirements

  • Minimal travel required to meetings, scale houses, conferences, and training.

While performing the duties of this job, the employee is regularly required to sit, talk, or hear. The employee is frequently required to sit, use hands to finger, handle, and feel. The employee is frequently required to stand, walk, kneel, and bend. The employee must occasionally lift and/or move from 1-20 lbs. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, and depth perception.

This position operates in a professional environment. Standard equipment used for this role include laptop and desktop computers, copier/scanner/fax machine.
