Banquet Supervisor
Starting wage: $20hr plus 1% commission on revenue from banquet F&B
Shifts: Varies between 1st and 2nd shifts, weekends required
Position Summary: Responsible for assisting the sales department in administrative tasks. Responsible for funneling inquiries to the appropriate sales manager and assisting walk in guests. The Sales Coordinator must be knowledgeable of industry trends, procedures and practices, while following Suburban Inns and franchise standards and expectations.Essential Functions
Report to work in uniform presented professionally, neat, and clean
Greet all guests in a friendly, positive manner. Ask questions of guests and make personal connections to make them feel they are welcome and valued
Anticipate and meet the needs and expectations of our guests, then go one step further
Answer all incoming phone inquiries to the sales office, qualify and respond to as necessary and as directed by the Director of Sales.
Responsible for sending out communications between departments
Assist sales team with promoting the hotel with awareness of various promotion/packages and sales plan
Keep abreast of current events in the area (i.e. news outlets, google alerts, indeed) for prospective business
Attend Hilton training classes when needed as related to sales
Maintain current and accurate files for all sales managers to include daily daybook entries and event logs
Enter contracts in Delphi and process weekly BEO packets, providing any updates or changes to operations
Compile and manage various sales reports and other Hilton and Suburban Inns reports detailing the operation of the department to ensure efficiency and accuracy of our sales team production
Responsible for entering room blocks and rooming lists into property management system and disseminating relevant group stay information to all hotel operations.
Ensure all sales collateral is stocked and sales kits are coordinated
Provide tours and offer suggestions in effort to sell the hotel/catering facilities for the occasion being planned
Follow up with sales clients by sending out meeting surveys and group thank you notes once events have departed the hotel
Assists with booking small meeting reservations
Building groups in R&I
Updating and managing Fastpay/Distribution Services
Updating Salesforce/ Delphi regularly to ensure up to date BEO creation
Ensure accuracy of group billing to customers for guest rooms and event space
Respond to RFP’s as directed by Director of Sales
Attend sales meetings to review policies and procedures, upcoming events, and continually develop sales strategies
Follow all Suburban Inns processes
Exhibit regular and recurrent attendance records
Other duties as requested by management
Position Requirements:Minimum Knowledge: Requires ability to interpret / extract information and / or perform arithmetic functions. Requires typing, data entry, keen knowledge of Microsoft word and excel. Good communication skills and strong organizational and data entry skills.Formal Education and Job-Related Experience: This position requires a minimum formal education of a high school degree or equivalent related experience. License, Registration, and/or Certification Required: Clean, valid driver’s license, reliable transportation to be used on sales calls.
