Location: Woodstock, GA

Our company is currently looking for a Portfolio Administrator to work in the Woodstock, GA. What you will be doing:
  • Answer management phones and assist with Tenant needs
  • Respond to inquiries by providing routine information and or taking and delivering messages.
  • Coordinate special events such as holiday events/parties.
  • Perform other duties as assigned, some of which may be essential to the job.
  • Maintain inventory of office supplies and property staff directory.
  • Assist Regional Vice President and Regionals with miscellaneous issue.
  • Prepare and Track Management Contracts and Renewal
  • Track and oversee office related contracts.
  • Stay informed about federal, state, and local regulations related to include all multifamily housing programs- Conventional, Affordable and HUD.
  • Well versed in use of Real Page platform
  • Oversight of Property On-boarding to include managing and obtaining all due diligence items, property set up, property vendor contract, phone/internet set up, website/URL, business licenses etc.
  • Manage and maintain contracts with vendors, service providers, and partners.
  • Review and negotiate contract terms and conditions to protect the interests of the company.
  • Monitor contract performance, deadlines, and deliverables.
  • -Oversight of all company memberships, subscriptions and continue education needs.
  • Coordinate the setup of new properties within the company's portfolio.
  • Collaborate with various teams to ensure a smooth transition, including leasing, maintenance, and compliance.
  • Prepare property-specific documentation and policies.
  • Maintain accurate and organized records, including contracts, leases, and compliance documents.
  • Generate reports on project progress, financials, and compliance status as needed.
  • Prepare and submit required reports to regulatory agencies.
  • Assist in the planning and execution of property improvement projects and renovations.
  • Collaborate with contractors, vendors, and internal teams to ensure project success.
  • Monitor project timelines and budgets.
  • Track and oversee Annual Property Tax assessments, payment of Property Tax bills and Property Insurance Renewal.
  • Support the Compliance Manager in ensuring compliance with Low-Income Housing HUD/Tax Credit rules and regulations.
  • Assist in resident certifications and eligibility verification

What you will need:
  • Bachelor’s Degree in a related field
  • Proven experience (minimum of 2 years) in project administration and contract management, preferably in multifamily management affordable and HUD knowledge
  • Strong knowledge of affordable housing programs, including Low-Income Housing HUD/Tax Credit rules and regulations.
  • Experience with Real Page management software.
  • Exceptional organizational and multitasking abilities.
  • Proficiency in contract negotiation and administration.
  • Strong attention to detail and accuracy in record-keeping.
  • Excellent communication and interpersonal skills.
  • Proficient in Microsoft Office Suite and project management tools.
