Registration & Scheduling Coordinator
Stevenson UniversitySummary:
Reporting to the University Registrar, the Coordinator, Registration & Scheduling provides leadership in preparing the master schedule of classes and facilitating efficient registration for students enrolling in undergraduate and graduate programs. The Coordinator manages the daily technical and administrative activities associated with registration, scheduling of classes, classroom assignments, and final exam scheduling. The Coordinator works closely with multiple campus stakeholders including the deans, academic program administrators, Center for Student Success, and others to build an effective schedule. The Coordinator contributes to assessing the effectiveness of existing procedures and policies related to registration and scheduling, and recommends improvements as warranted. The Coordinator serves as a member of the Registrar's Office team and supports events and initiatives as assigned.

Education/Experience:
Bachelors degree is required, plus 2 years of progressively responsible experience in a Registrars Office, or equivalent combination of education and experience. Experience with scheduling and/or student information systems such as Ellucian Colleague preferred.
Knowledge/Skills/Ability:
  • Highly organized with critical focus on detail, accuracy, reasoning, problem-solving skills, and efficient workflow.
  • Ability to set priorities and manage multiple tasks under pressure and to adapt to rapidly changing priorities.
  • Experience managing software system implementations, integrations, and migrations.
  • Ability to manage tasks and projects and to use available software effectively to contribute to the department, including Excel, Word and PowerPoint applications.
  • Proficient in using Ellucian Colleague or other data information systems.
  • Excellent written and verbal communication skills required; must be able to express oneself effectively within groups and one-on-one conversations.
  • Exceptional technical, analytical, and problem-solving skills.
  • Excellent organizational, planning, and team-building skills.
  • Knowledge and understanding of academic rules and regulations.
  • Knowledge of student record confidentiality issues and expertise in interpretation and enforcement of University, state, and federal regulations (i.e. FERPA)

Physical Requirements:
Light work: Exerting up to 20 pounds of force occasionally and/or a negligible amount of force constantly to move objects. Sedentary work: data entry, talking, hearing, repetitive motions. Close visual acuity. Not substantially exposed to adverse environmental conditions.
Essential Functions:
The duties and responsibilities include but are not limited to:
  • Create and manage the timeline for development and receipt of the schedule of classes.
  • Collaborate with deans, academic program administrators, the Center for Student Success, and other stakeholders to develop class schedules in Colleague for each semester/term.
  • Resolve scheduling conflicts with academic program administrators.
  • Develop the final exam schedule for each semester/term.
  • Enter curricular changes, such as course proposals, course modifications, and course changes, in Colleague.
  • Ensure efficient seat distribution and classroom utilization; Provide reporting and analysis each semester.
  • Provide key stakeholders with course enrollment data and reports to assist with course scheduling, section enrollment, limit adjustments, and add/cancel decisions.
  • Verify compliance and adherence to academic regulations such as calculating contact hours, space optimization practices, and ensuring consistent and accurate data entry to support registration functionality.
  • Act as primary point of contact and liaison with academic units on a range of complex scheduling, operational, and administrative issues related to academic course offerings.
  • Liaise with Office of Student Accounts, Office of Information Technology, and other campus stakeholders related to section setup, and registration-related matters affected by the section setup.
  • Use Ad Astra Optimizer and Sandbox to schedule sections into classrooms according to department preferences, equipment needs, location, and available space.
  • Arrange classroom assignments for students and faculty who need accommodations because of disabilities.
  • Develop and provide regular and as needed ad-hoc reports related to space usage, capacity, efficiency and other appropriate data utilizing Scheduling System.
  • Manage notifications to students, faculty, and staff of important registration information, updates, and deadlines.
  • Advise and assist students, faculty, and staff with tools related to Student Planning and registration.
  • Prepare necessary reporting pertaining to registration/enrollment for distribution.
  • Process freshman/transfer withdrawals prior to matriculation.
  • Attend and participate in all Faculty/Staff University and Registrars Office meetings and relevant other meetings as requested.
  • Support commencement exercises, convocation, and other university events as requested.
