State of Washington Dept. of Health is Hiring an Administrative Assistant (AA 3) Part-time, Project – DOH8107 Near Tumwater, WA

Description

This recruitment announcement is for a part-time, project Administrative Assistant 3 (AA 3) position with the Washington State Board of Health (SBOH) anticipated to be funded through June 30, 2025.As a result, this position is not eligible for a Department of Retirement Services benefit for the duration of the placement. During the 2024 legislative session the Legislature included in the supplemental operations budget a proviso which requires the Board to review and update rules for school environmental health and safety. These statewide rules apply to public and private schools. The Board must conduct the review in collaboration with a multi-disciplinary technical advisory committee with the purpose of proposing a new set of minimum statewide health and safety standards for schools.
The legislature also required the Board to review two newborn screening conditions, the Board will convene separate advisory committees to review Branched-chain keto acid dehydrogenase kinase (BCKDK) and Cytomegalovirus (CMV).

Make a difference.
This Administrative Assistant 3 (AA 3) position reports to the School Review Manager (WMS 2) and works closely with the Board’s Executive Assistant to provide administrative functions and assistance that support Board and Technical Advisory Committee (TAC) members and staff. You will be responsible for assisting with the Board’s and TAC’s daily office functions, including meeting planning and coordination, contracts and procurement, expenditure control, travel, office space management, public relations, personnel administration (e.g., payroll), records management, and other administrative office functions.

Responsibilities include:
  • Provides day-to-day administrative and staff support services for the WA State Board of Health (SBOH) school rule project and newborn screening project.
  • Completes assigned procurement tasks with expertise and independence, including forms for staff, Board member and staff travel.
  • Performs and assists with travel booking and logistics coordination: contacts travel vendors; completes all arrangements and necessary paperwork; follows up to ensure process completion.
  • Coordinates non-employee travel, such as travel arrangements for Board TAC members.
  • Researches and arranges state contracts/procurement for American Sign Language (ASL) and other translation and interpretation services for TAC meetings.
  • Plans, organizes, and employs all administrative functions necessary for successful meetings of the State Board of Health TAC project and other meetings.
  • Assists with in-person and virtual meetings.
  • Applies expert working knowledge of virtual technology (e.g., Zoom) in meetings and leads in various functions, including managing breakout rooms.
  • Arranges meeting logistics (facilities, catering, travel, etc.).
  • Processes billing and other forms related to meetings, including ensuring timely reimbursement of Board and TAC members.
  • Assists with developing, compiling, organizing, and printing meeting materials, including meeting material packet development.
  • Cross-trains with the Board communications team on meeting logistics, including operating AV equipment for hybrid meetings and electronic transfer of materials to websites and devices.

Work setting.
This position has a duty station located in Tumwater WA, with working hours scheduled between 8 a.m. and 5 p.m. on weekdays (flexible schedules are available). Occasionally, at the request of the supervisor, the incumbent may need to work beyond these hours to meet deadlines or attend Board or Technical Advisory Committee meetings. Adjustments to the regular schedule may also be made during peak workloads or in response to meeting commitments.

Required Qualifications
Three years of experience in office/clerical, secretarial, or general administrative work, to include:
  • Meeting planning and implementation, particularly with scheduling and managing hybrid meetings, public meetings, and state workgroup meetings.
  • Proficiency with using Microsoft Office Suite (MS Outlook, Word, Excel, PowerPoint) products, or equivalent. Strong verbal and written communication skills, including experience drafting, editing, and finalizing various types of documents (e.g., forms, letters, tracking sheets, reports).


Competencies

  • Well-developed organizational skills.
  • Strong time management skills and ability to work independently under minimal supervision.
  • Experience working with diverse communities in a culturally and linguistically appropriate manner, including communities of color, communities with low income, LGBTQ communities, people who speak a language other than English, people with disabilities, and additional communities that have been historically marginalized.

Desired Qualifications
  • Experience creating, implementing, and improving office administrative procedures.
  • Experience with records retention, management, and organization, particularly in state government or Washington State agency contexts.
  • Demonstrated experience with complex administrative tasks that require a high level of accuracy, such as contracts support, procurement, travel logistics and reimbursements, or budget tracking.
  • Knowledge of state government organization and administrative procedures (including payroll, accounting, and procurement).
  • Willingness to learn, be flexible, and be coachable.
  • Ability to exercise a high level of emotional intelligence, critical thinking, and judgment, including during challenging or ambiguous situations.
